Field: the basic building block of a solution. Fields hold the details of each record in a table, and SmartSuite offers more than 40 field types. Field type: the format of the data a field stores. Read The structure of SmartSuite for how fields sit inside tables and solutions, and Available field types for the full list.
Who can manage fields?
Solution Managers add new fields and change existing fields in the solutions they manage.
Workspace Administrators add and change fields in any solution in the workspace.
General Users cannot add or change fields.
How do I add a field?
There are two places to add a field: Grid View and an open record.
From Grid View
Click the ... menu on a column header and choose Add Field to the Right, or click the + after the last column header.
Pick the field type. You can search by name or by a synonym: typing @ finds Email, 1 finds Number and $ finds Currency.
Configure the field in the window that opens and save.
From an open record
Open a record and hover over any field.
Click the + beside the field to add a new field directly below it.
You can also click Add new field to this Table at the bottom of the record.
The animation below shows a field being added in the record view.
A third route: hover over a field, click its ... menu and choose Insert Field Above or Insert Field Below.
In every case, pick the type, configure it in the window that opens, and the new field appears directly below (or beside) the field you started from.
How do I change a field's settings?
Solution Managers and Administrators change fields from Grid View or from an open record. The Available Fields article links to the settings each field type offers.
From Grid View
Click the dropdown on the column header.
Select Modify Field Settings.
From an open record
Hover over the field and click the ... icon.
Select Modify Field Settings.
How do I duplicate a field?
When you need several similar fields, such as Priority and Criticality on a project table, duplicate one instead of setting every property again.
Who can duplicate a field?
Members with the Administrator role.
Members with the Solution Creator or General Access role who are also a Solution Manager for the table's solution.
Steps
Open the field properties from the column dropdown in Grid View or the ... menu in a record.
Select Duplicate Field.
Give the new field a unique name.
Check Include Field Content to copy the data too, or leave it unchecked to copy only the structure. Note: Signature and Vote fields cannot have their content duplicated.
Click Duplicate Field.
The copy appears to the right of the original in Grid View, or directly under it in the record view.
Which fields cannot be duplicated?
System fields: Record Title (the primary field), Auto-Number, First Created and Last Updated.
Which fields always copy their content?
Count, Record ID, Rollup, Lookup and Formula fields generate their values, so Include Field Content is always on for them.
How do I delete a field?
Administrators can delete any field in any solution. Solution Managers can delete fields in the solutions they manage. See Changing a member's role.
Open the field properties from the record view or from the column menu in Grid View.
Select Delete Field.
Click Yes, delete this field.
The field is removed at once and no longer appears in filters, sorts or other controls. It goes to the Recycle Bin; see the FAQ for how to restore it.
What are common ways to use field management?
1. Similar fields on a project table
Scenario: you want Priority and Criticality fields with the same options. Setup: configure one Single Select field, then use Duplicate Field without content and rename the copy.
2. Client details
Scenario: you track clients and need contact details on each record. Setup: add Email, Phone and Address fields straight from Grid View or from an open record, so the record view is designed as you go.
3. Recovering a deleted field
Scenario: a field with project data was deleted by mistake. Setup: open the Recycle Bin and restore the field; its data comes back with it as long as you are inside your plan's retention period.
Frequently asked questions
I deleted the wrong field. What do I do?
Restore it from the Recycle Bin, data included: open your profile menu in the upper-right corner, click Recycle Bin, find the field and click Restore.
How long does a deleted field stay in the Recycle Bin?
30 days on Team, 45 days on Professional, 60 days on Enterprise and Signature.
Can one table have two Linked Record fields?
Yes. A table can hold up to 30 Linked Record fields on Team, 50 on Professional and 100 on Enterprise and Signature.
Can I add fields with AI?
Yes. The AI Workflow Builder builds tables, fields and views from a plain-language prompt. The AI articles in this help center cover the setup.
Does changing a field in one view change it in other views?
Field settings (type, options, name) belong to the table, so a change applies in every view. Which fields are shown, their order and their width are set per view and do not affect other views.
Can I see when a field value was last changed?
Yes. The record's activity history lists each field value added, edited or deleted, with who did it and when. See See Your Activity History.
