Duplicating a Solution

Make a copy of an existing Solution to utilize similar structure and save time developing new workflows

Do you want to create a new Solution that is similar to an existing one - maybe it just needs a few tweaks to fit another use perfectly. You don't have to start from scratch, you can copy the existing Solution with just a few clicks.

The duplicate will have all of the Tables, Fields and settings that the original does, but with a new name. You can optionally copy the original Solution's content (and even comments) as well.


Why would I want to duplicate a Solution?

There are several reasons why you might want to duplicate an existing Solution instead of starting from scratch - here are just a few ideas:

  1. You need a Solution for a new team or business process that is structurally similar to an existing one - you'll reduce the amount of work it takes to get the new one set up if you start with a configuration that mirrors the existing one.

  2. You can duplicate a Solution to experiment with new features, or suggest a modification to an existing Solution that is in production use.

  3. Creating a duplicate Solution prior to a major data import or structural modification - especially if you copy records and data - will allow you to quickly get your teams back to work if the change isn't quite right.


How to Duplicate Solutions

Locate the Solution duplication function

There are two ways to get started - either from the home page, or from inside the original Solution itself.

1 - Starting from the Home Page

From the home page, start the duplication process by following these steps:

  1. Ensure that you are logged in as either an Administrator or as a Solution Manager that is a Solution Owner of the original Solution.

  2. Open the Solution's 3 dot (...) menu and click Duplicate Solution.

  3. The Duplicate Solution dialog will open.

2 - Starting from inside the Solution

From inside the Solution itself, start the duplication process by following these steps:

  1. Ensure that you are logged in as either an Administrator or as a Solution Manager that is a Solution Owner of the original Solution.

  2. Open the Solution's drop-down menu and click Duplicate Solution.

  3. The Duplicate Solution dialog will open.

Configuring the new duplicated Solution

Once you have the Duplicate Solution dialog open, there are just a few simple options to configure:

  1. Name - Specify a new, unique name for the Solution

  2. Duplicate in Workspace - Select the target Workspace for the new Solution

  3. Include Records - if checked, the duplicated Solution will have a copy of all of the original Solution's records

  4. Include Comments - checking this option will bring the original Solution's comments along into the duplicated Solution

Click Duplicate Solution and SmartSuite does its magic - you have an exact copy of your original Solution!

Content that is not duplicated

Certain types of Solution content is not duplicated, including:

  • Tasks

  • Starred Items / Favorites

  • Personal saved views

  • Notifications

  • Activity History

  • Contents of the Recycle Bin

If you've allowed users to copy the solution, you'll now see a Copy Solution button in the top right corner of the Solution's header.

Clicking on this button will bring up a menu prompting you to pick a workspace where you have the appropriate permissions to create a new solution (Administrator or Solution Creator role). If the user is not currently logged in to a SmartSuite Workspace, they will receive a notice that they must first log in to a Workspace.
