Build a simple CRM in 20 minutes

Build Accounts, Contacts and Opportunities tables, link them, and track the pipeline in a Kanban view.

Written by Peter Novosel

In 20 minutes you build a simple CRM: Accounts, Contacts and Opportunities tables linked to each other, and a Kanban view that shows the pipeline by stage. You need the Solution Creator or Administrator role. The Solution Library also has a Sales CRM template with the same four tables if you would rather start from one.

About 20 minutes.

What will I have at the end?

Every contact belongs to an account, every opportunity belongs to an account and has an owner, a stage, a value and a close date, and the team sees the pipeline as a board.

Step 1: Create the solution and the Accounts table (4 minutes)

  1. On the Home Page, click + New Solution and choose Build from Scratch.

  2. Click Add Table and name it Accounts. The Title field is the company name.

  3. Add with Add Field: Industry (Single Select), Owner (Assigned To) and Notes (SmartDoc).

Step 2: Add the Contacts table and link it (4 minutes)

  1. Click Add Table and name it Contacts. The Title field is the person's name.

  2. Add Email (Email field) and Role (Text).

  3. Add a Linked Record field named Account and in Select Linked Table choose Accounts. Each account now lists its contacts.

Step 3: Add the Opportunities table and link it (5 minutes)

  1. Click Add Table and name it Opportunities.

  2. Add Stage (Status, with values such as Lead, Qualified, Proposal, Won, Lost), Value (Number), Close Date (Due Date) and Owner (Assigned To).

  3. Add a Linked Record field named Account linked to Accounts, and another named Contact linked to Contacts.

Step 4: Enter three accounts, five contacts and five opportunities (4 minutes)

  1. In Accounts, click + Add New and create three accounts with an Owner.

  2. In Contacts, add five people and set each one's Account.

  3. In Opportunities, add five deals with a Stage, a Value, a Close Date, an Owner, an Account and a Contact.

Step 5: Build the pipeline view (3 minutes)

  1. In Opportunities, open the View Panel, click Create New View, choose Kanban and group the columns by Stage.

  2. In the Grid View, group the records by Account from the toolbar to see each account's deals together.

What can I do now?

  • Move a deal across the board and its Stage changes everywhere.

  • Open an account and see its contacts and opportunities from the linked fields.

  • Add a dashboard with a chart of Value by Stage: see Getting Started with Dashboards.

Frequently asked questions

Should I use the Sales CRM template instead?

If your process is close to it, yes: it has Accounts, Contacts, Opportunities and Sales Resources tables already linked. Building your own first is the fastest way to understand what the template does.

Can I import my existing contacts?

Yes. CSV/Excel Data Import creates one record per row; map the company column to the Account linked field.

How do I see the total pipeline value?

Add a Chart view or a dashboard Chart widget that sums Value by Stage; or group the Grid View by Stage and read the column totals.

Can a linked record be edited from the other table?

Yes. A Linked Record field is mirrored: linking a contact to an account from either table shows the link in both.
