What will I have at the end?
One solution with two tables. Each project has its tasks under it, each task knows its project, and the team sees the work as a board, a calendar and a grid.
Step 1: Create the solution and the Projects table (3 minutes)
On the Home Page, click + New Solution and choose Build from Scratch.
Click Add Table and name it Projects. The Title field names each project.
Click Add Field three times to add: Status (Status field), Owner (Assigned To field) and End Date (Due Date field).
Step 2: Add the Tasks table (4 minutes)
Click Add Table and name it Tasks.
Add these fields: Status (Status), Due Date (Due Date), Assigned To (Assigned To) and Priority (Single Select with High, Medium and Low).
Step 3: Link tasks to projects (3 minutes)
In the Tasks table, click Add Field and choose Linked Record.
Name it Project and in Select Linked Table choose Projects. SmartSuite creates the matching field in Projects, so each project lists its tasks.
Open a task, set its Project, and open that project to see the task listed.
Step 4: Enter two projects and eight tasks (5 minutes)
In Projects, click + Add New and create two real projects with an Owner and an End Date.
In Tasks, add four tasks per project with a Status, a Due Date, an assignee, a Priority and the Project link.
Step 5: Add the views (5 minutes)
In Tasks, open the View Panel and click Create New View; choose Kanban and group the columns by Status.
Click Create New View again; choose Calendar and place the tasks by Due Date.
In the Grid View, group the records by Project from the toolbar so each project's tasks sit together.
What can I do now?
Assign a task and the owner sees it in My Work with a notification.
Drag the board or change a Status and every view updates, because every view reads the same records.
Share the solution with the team: solution dropdown > Permissions.
Frequently asked questions
Should I make one solution per project instead?
No. One solution with a table of projects and a linked table of tasks lets you report across projects; a solution per project means rebuilding fields and views every time.
Can I show the tasks of all projects on one timeline?
Yes. Add a Timeline view on the Tasks table; it places records by their date fields.
Can I import tasks from a spreadsheet instead of typing them?
Yes. CSV/Excel Data Import creates one record per row; map the Project column to the Linked Record field.
Is there a template that already does this?
Yes. The Solution Library has project management templates in Core Workflows; install one with Start with a Template and compare it with what you built.
