Quick start: build your first solution in ten minutes

Create a solution, add a table and five fields, enter ten records, add a view and invite one teammate in ten minutes.

Written by Peter Novosel

In ten minutes you build a solution from scratch with one table, five fields and ten records, add a Kanban view and share it with one teammate. You need the Solution Creator or Administrator role to create the solution; a General Access member can follow the same steps in a solution a builder has shared.

About 10 minutes.

Step 1: Create the solution (1 minute)

  1. On the Home Page, click + New Solution in the bottom left.

  2. Choose Build from Scratch. An empty solution opens, ready for its first table.

Note: If you do not see + New Solution, your role does not allow it. Ask an Administrator for the Solution Creator role, or for a solution to work in.

Step 2: Add a table (1 minute)

  1. In the solution, click Add Table.

  2. Name the table Tasks. The table opens in Grid View with its Title field, the first column that names each record.

Step 3: Add five fields (3 minutes)

Repeat the three steps below for each of the five fields in the table. Every field type is described in the Field Overview, linked at the end.

  1. In Grid View, click Add Field.

  2. Choose the field type and name the field.

  3. Save the field. It appears as a new column.

Field name.

Field type.

Why.

Status.

Where each task is: the Kanban columns in step 5 come from this field.

Due Date.

When it is due.

Assigned To.

Who owns it; the task appears in that person's My Work.

Priority.

Single Select with the values High, Medium and Low.

How urgent it is.

Notes.

A line of detail.

Step 4: Enter ten records (2 minutes)

  1. Click + Add New in the upper right of the table, or the + in the first open row.

  2. Type the task name in the Title field, then set Status, Due Date, Assigned To and Priority.

  3. Repeat until you have ten tasks. Use real tasks from this week so the solution is useful from the first day.

Step 5: Add a Kanban view (2 minutes)

  1. In the View Panel on the left, click Create New View in the footer.

  2. Choose Kanban.

  3. Group the columns by the Status field. Each column is now one Status value and each card is one of your records.

The Grid View you started in is still there: a view is a saved way of looking at the same table, so editing a card in Kanban changes the record everywhere.

Step 6: Share it with one teammate (1 minute)

A new solution is Private to Me, visible only to you and the Administrators, until you change its permissions.

  1. Open the solution's dropdown menu and choose Permissions.

  2. Pick All Members Have Full Access, or Only These Teams Have Full Access and choose a Team.

  3. If your teammate is not in the workspace yet, an Administrator invites them from Sidebar Menu > Manage Members > Invite New Members. Enter the email address, choose the General Access role and click Send Invitations.

Note: On paid plans a member is billed when they accept the invitation, not when it is sent.

What can I do now?

  • Open any task by expanding its row, and change its Status by editing the card in Kanban.

  • Assign a task to your teammate; it appears in their My Work and they get a notification.

  • Add a Calendar view on Due Date from the same Create New View button.

Frequently asked questions

Can I start from a template instead of from scratch?

Yes. Start from a Solution Library template installs one of the 200+ Solution Library templates with demo data you can keep or delete. Many people do both: a quick start to learn, then a template for the real process.

Can AI build the solution for me?

Yes. In the New Solution window choose Create with AI, describe the workflow, and the tables are generated in about 1 to 2 minutes. You can change anything it builds afterwards.

I added a field by mistake. How do I remove it?

Open the field's menu in Grid View and delete it; deleted fields go to the Recycle Bin, where they can be restored. See SmartSuite Field Management.

Do I have to share the solution?

No. Skip step 6 and the solution stays Private to Me. Share it when it is ready; the permission modes are explained in Permissions in five minutes.
