Record details widget

The Record Detail widget shows chosen fields of the record picked in a Record Selector widget, editable or read-only.

Written by Emma Montgomery

A Record Details widget shows one record's fields on a dashboard. The record is whichever one a viewer picks in a Record Selector widget on the same page. Each field can be editable or read-only, so the widget works as a small record window that never opens.

Here is the test: should the dashboard show one record's details, and let people update them in place? If yes, add a Record Details widget next to a Record Selector. To show many records at once, use a Grid View widget instead; see Dashboards: Grid View Widget.

Example: a Vendor Management solution with a Vendors table. On the Vendor risk overview dashboard, a Record Selector lists the vendors. Beside it, the Security lead adds a Record Details widget called Selected vendor. It shows Vendor Tier as read-only, Control Owner and SOC 2 Report On File as editable, and Headquarters at double width. Procurement picks a vendor; Security changes the owner without leaving the page.

Adding a Record Details widget

  1. Open the dashboard and set the View | Edit switch in the upper right to Edit.

  2. Select + Add Widget in the toolbar. The Add New Widget panel opens at the right, with a Search Widget box and thirteen collapsible categories. Only Page Display is open to start. Type a word in the search box to filter the cards.

  3. Open the Record Display category and find the Record Details card. Its description reads "Add a Record Details in your dashboard".

  4. Select the card. A full-width window opens, titled Record Details. The left side is a live preview and the right side is the settings sidebar, with three tabs: General, Fields and Style. Cancel closes the window without placing the widget.

  5. Under Source on the General tab, select the Record Selector that supplies the record.

  6. On the Fields tab, add the fields to show, then select Add Widget.

The first widget on a dashboard lands at the top left, at half the row's width; the next lands beside it. Drag the handle on its right or bottom edge to resize it, and the handle in its header to move it. Put it beside the Record Selector so the pair reads left to right. See Manage widgets on a dashboard.

Note: A Record Selector on the same dashboard is required. Without one, Source reads Missing Source, the Select Widget list is empty, and the Fields tab reads "You need to choose “Record Select Widget” first". Add the selector first; see Record Selector Widget.

The General tab

The General tab holds two sections: Heading and Source.

Heading

Title is the widget's name, shown in its header. It starts as "Record Details". Description is a switch, off to start. Turn it on and a text box appears, with the choice As A Tooltip or Below The Title; Below The Title is selected to start. For the example, the title is Selected vendor.

Source

Select Widget lists the Record Selector widgets on the dashboard. Pick one and the Source row reads "Record Selector (Widget)" with a caption naming the selector's solution and table, "Record Picker from Vendor Management • Vendors" for the example. The widget then shows whichever record is chosen in that selector.

The Fields tab

The fields the widget shows, in order. + Add Field opens Choose Field, a searchable list of the source table's fields. Each chosen field becomes a row with a drag handle, the field's name, a trash icon and an arrow. Drag a row to reorder; the trash removes the field at once, with no prompt.

The arrow opens Field Properties, a popover with four settings and an Apply button.

  • Permissions: Edit or Read Only.

  • Display Field Name: Yes or No, the field's name above its value.

  • Help Text (if any): Do not Display, selected to start, As a tooltip or Below the field name.

  • Field Width: 1, 2, 3 or 4, the share of the widget's width the field takes.

For the example, Vendor Tier is Read Only, Control Owner and SOC 2 Report On File are Edit, and Headquarters has a width of 2.

Tip: Put the fields people change at the top, at width 1. Put the long ones, such as an address or a description, below at width 4.

The Style tab

Appearance sets the widget's background: White, Neutral or Custom.

A Files and Images field can be shown as a carousel or as the field itself, as a grid or a list.

Permissions

Solution Managers and members with Full Access add a Record Details widget to a public dashboard and change its settings. The owner does so on a private dashboard. See Dashboard Settings. A field set to Edit can be changed by a viewer who has edit permission on that field in the table. A field set to Read Only is read-only for everyone. See Field Permissions. A shared dashboard shows the widget read-only; see Public Dashboard Sharing.

Note: Edit in the widget does not grant anything. A viewer who cannot edit the field in the table cannot edit it here either.

Using the widget

Before a record is picked, the widget shows "Widget is not configured". The line under it asks you to pick a Record Selector widget and define the fields to be displayed. Pick a record in the Record Selector and the fields fill in. Change the selection and the widget refreshes at once.

An editable field shows as its usual control, a Status dropdown or a member picker for instance, with a Clear option. Make the change and click outside the field; the change is saved then. It reaches every connected widget and every other viewer at once. Security changes Control Owner on a vendor and the register's Grid widget shows the new owner.

In View mode, hover over the widget to see four icons at its top right: Open Record, Show Comments, Full Screen and More Options. Open Record opens the record in its window. On a phone, the Record Details widget is not shown in the mobile app. See Mobile Dashboard Widgets: Supported Features and Limitations Guide.

Editing a Record Details widget

In Edit mode, hover over the widget. A strip appears in its header with Drag Widget, Move Up, Move Down, Edit and More Options. Select Edit to reopen the window; its footer now reads Cancel and Save Changes. Closing it after a change opens a prompt. It reads "Are you sure you want to exit without saving the changes you made?". Its buttons are Exit Without Saving and Save Changes.

The strip's More Options menu holds Minimize, Highlight Color, Duplicate Widget, Export, Delete Widget and Collapsed by Default. Duplicate Widget opens a dialog where you name the copy, which lands below the original. Delete Widget asks "Are you sure you want to delete the <name> widget?" with No, cancel and Yes, delete widget; a deleted widget does not go to the Recycle Bin. See Manage widgets on a dashboard. There is no Save button on the dashboard: Add Widget or Save Changes in the window is the only commit, and the dashboard autosaves.

Frequently asked questions

Does the widget work without a Record Selector?

No. Its source is a Record Selector on the same dashboard. Until one is picked, the window reads Missing Source. See Record selector widget.

Can viewers edit the fields?

Yes, when the field's Permissions is Edit in Field Properties and the viewer can edit it in the table. A Read Only field is read-only for everyone.

Why is a field missing for one viewer?

The viewer cannot see that field in the table. Field permissions apply in the widget as they do in a record. See Field Permissions.

How wide can a field be?

Field Width runs from 1 to 4. A field at 4 takes the whole widget width; two fields at 2 sit side by side.

Can the widget show two records?

No. It shows the record selected in its Record Selector.
