Filter widget

Apply filter criteria across multiple widgets within your dashboard

Written by Emma Montgomery

The Filter widget is one control that filters several widgets at once. Viewers pick values from its dropdowns, or select a named tab, and every widget connected to it reloads with that slice. It works on widgets built on the same table as the Filter widget.

Here is the test: should one choice, such as a vendor tier or an owner, change the whole page? If yes, add a Filter widget. To narrow one widget only, use that widget's own Preset Filters; see Filters in View-Based Widgets.

Example: the Vendor risk overview dashboard in a Vendor Management solution. The Security lead adds a Filter widget on the Vendors table and connects it to the register grid and the Tier 1 vendor cards. It carries two Dynamic filters: Vendor Tier, which opens on Tier 1, and Control Owner. A second Filter widget on the Findings table carries three Static filters, Open, Overdue and Resolved this week, as tabs above the findings widgets.

Adding a Filter widget

  1. Open the dashboard and set the View | Edit switch in the upper right to Edit.

  2. Select + Add Widget in the toolbar. The Add New Widget sidebar opens on the right, with a Search Widget box and the widget categories.

  3. Expand Actions and select the Filter Widget card. Its info icon reads "Apply filter settings across multiple widgets".

  4. The widget modal opens, titled Filter Widget. The preview on the left reads "No filters have been configured" and "Click on the Filters tab and configure your filters" until you add one. Choose the source table, connect the widgets and build the filters as described below.

  5. Select Add Widget at the foot of the modal. Cancel discards the widget.

The widget lands at the full width of the row, as a short bar. There is no Save button on a dashboard: Add Widget is the commit. Add the Filter widget first, or drag it above the widgets it drives, so viewers see the control before the result.

The widget settings

The Filter widget has its own settings sidebar with two tabs: General and Filters. This section takes them in that order.

General

Heading. Title is a text box, prefilled with "Filter Widget". Description is a switch, off to start. The title does not show on the dashboard unless Display widget name as heading, a switch at the foot of the tab, is on. It is off to start.

Source. A button that shows the table's name with the line "Solution: <solution name>". It opens a two-level picker: the current solution's tables, and a back chevron to every solution you can see. A Filter widget filters one table. The overview needs two: one on Vendors and one on Findings.

Connected Widgets. The helper reads "Select the widgets that will use this filter". Select Connect to Widget. A list opens, headed "Widgets using <table name> Table", with a search box and every widget on the dashboard that is built on the same table. On the read it offered a Bar chart and the Calendar, Card, Gantt, Grid, Kanban and Timeline View widgets. Pick one and it appears as a row under Connected Widgets with a Delete button; repeat for each widget the filter should drive.

Note: Only widgets built on the same table can be connected. A dashboard that mixes Vendors and Findings widgets needs one Filter widget per table.

Filters

Preset Filters offers two cards, Dynamic and Static; there is no None, unlike the Preset Filters inside a view-based widget. The helper reads "Simplify data interaction by displaying preset filters." Dynamic filters are dropdowns the viewer uses. Static filters are named sets of conditions you build, shown as tabs.

Dynamic filters

The card's helper reads "Dynamic Filters are displayed as drop downs and allow multiple filters to be applied simultaneously within a view." Select Add Filter. The Choose Field popover opens with a search box and the fields the widget can filter by; its footer reads "Only showing supported fields". On the read the list held Status, Single Select, Assigned To and Linked Record fields, and the date fields. A Due Date field was offered as Due Date Start and Due Date End. Text, number and auto-number fields were not offered.

Pick a field and the <Field>: Filter Settings popover opens with four rows, in this order.

  • Selections: the values the viewer can pick from. It starts on All Field Values; the list is All Field Values and then every value of the field.

  • Default Condition: Is or Is not, the operator the control opens on. Is to start.

  • Default Value: the values the control opens on. It starts on "Select from list..." and takes more than one value.

  • Sort values: As defined in the field, "A — Z" or "Z — A" (the dash is the product's own glyph). As defined in the field to start.

Select Add. The filter appears as a row with a drag handle, its name, a trash icon and an arrow that reopens the settings, and the preview shows its dropdown. For the Vendor Tier filter, Selections stays on All Field Values, Default Value is Tier 1, Default Condition is Is and the values sort as defined.

Tip: Set a Default Value so the dashboard opens already narrowed to the slice most viewers want. Everyone else changes the dropdown.

Date fields

A date filter's Selections list holds the date periods of the standard Filter control, with Exact Date/Range at the top. The periods are Today, Tomorrow and Yesterday; the past week, month or year; the next week, month or year; and the next or past number of days. The viewer picks one period, or Exact Date/Range for a picker with From and To dates and an optional time.

Static filters

Select the Static card and Add Filter. The filter builder opens, titled "Filter 1" with a pencil to rename it: Where, the field, the operator and the value, plus Add Filter and Add Filter Group. It is the same builder as a view's Filter; see Filtering records using conditions. Done adds the row. Add up to 20 Static filters in one widget.

Drag a filter to reorder it; the order sets the tab order on the dashboard. Select a filter's row to edit it. The trash icon deletes it at once, with no prompt.

For the Findings widget, Open is Status is not Resolved. Overdue adds Due Date is before Today. Resolved this week is Status is Resolved and Last Updated is within This week.

Permissions

Solution Managers and members with Full Access add a Filter widget to a public dashboard and change its settings. The owner does the same on a private dashboard. Every member who can open the dashboard uses the filters; see Dashboard Settings. Nothing a viewer picks is saved: the widget reloads with the Default Values and the first Static tab. Record permissions still decide which records a viewer sees through any filter. The Filter widget is not shown on a shared dashboard.

Using the widget

Dynamic filters. Each filter shows as a dropdown on the widget, labeled with the field's name. Open it and you get a search box, the field's values as pills, and a footer that reads "<Field> is" with the operator dropdown, Is or Is not. Pick a value and the control reads, left to right, the field, the operator, the value and Clear. Every connected widget reloads at once. On the read, a Grid View widget fell from "19 tasks" to "2 tasks" when Blocked was picked. A chart that was not connected kept all 19. Clear restores the full list.

Static filters. Each filter is a tab on the widget. One tab is always active, and the first tab is selected when the dashboard loads. Select a tab and every connected widget reloads with that tab's conditions.

How the layers combine. A connected widget applies its own Preset Filters and the Filter widget's conditions together, joined with AND. A record must pass both. See Filters in view-based widgets.

Editing a Filter widget

In Edit mode, hover over the widget. A strip appears with a drag handle (Drag Widget), Move Up, Move Down, Edit (its tooltip reads Edit Widget) and a three-dot More Options menu. Edit reopens the modal; change what you need and select the button at its foot. Select a connected widget's Delete button under Connected Widgets to release it; it then follows its own filters only. The menu's Delete Widget asks "Are you sure you want to delete the <name> widget?" with No, cancel and Yes, delete widget. The full set of controls is in Managing Widgets.

Frequently asked questions

Why is a widget missing from the Connect to Widget list?

It is built on a different table. The list is headed with the table's name and holds only the widgets on it. Add a second Filter widget for the other table.

Can one widget be driven by two Filter widgets?

One Filter widget can drive many widgets.

Can viewers save what they picked?

No. A viewer's picks last for the session. The widget reloads with the Default Values, or the first Static tab.

Which field types can be Dynamic filters?

Status, Single Select, Assigned To, Linked Record and date fields were offered on the read; text and number fields were not.

How many Static filters can a widget hold?

Up to 20.

Does the Filter widget reach a chart widget?

A Bar chart on the same table was offered in the Connect to Widget list on the read.
