Fill cells with the fill handle

Drag the fill handle at the corner of a selected cell in Grid View to copy values or continue a number sequence.

Written by Emma Montgomery

The fill handle is the small square at the lower right corner of a selected cell or range. Drag it and the values are copied into the cells you cross, or a number series continues.

Here is the test: do you want the same value, or the next values in a series, in the cells below? Drag the handle. For the same change on many records with no pattern, use a bulk update.

Example: Finance numbers the contract lines 1, 2, 3 by typing the first two and dragging. On Findings, a monthly review date series grows from two dates. Procurement copies one Contract Owner down twelve rows.

Opening the fill handle

Select a Text or Title cell in a Grid view with one click. A blue outline marks it, and a small square appears at the outline's lower right corner. That square is the fill handle. On a Number or Date cell, one click opens the cell's editor instead of selecting it. Select a range of adjacent cells and the handle sits at the corner of the range.

Filling cells

  1. Select the cell or the range of adjacent cells to copy.

  2. Point at the fill handle at the lower right corner of the selection.

  3. Drag the handle down or across the cells you want to fill.

  4. Release the mouse button. The values are copied into the cells you crossed.

Procurement selects the Contract Owner cell on the first of twelve contracts and drags the handle down eleven rows. All twelve take the same owner.

Note: Cells in fields you cannot edit are not filled. The drag skips them and fills the rest.

Continuing a series

Select two or more cells that form a pattern, such as 1, 2, 3, and drag the handle. The series continues across the range. For a schedule, enter the first two dates, select both and drag; the dates continue at the same step.

Tip: Enter two values before you drag, not one. One value is copied; two values set the step of the series.

Permissions

The fill handle edits records, so it follows the member's edit permission on each field. See Field Permissions. When Disable Inline Edit is on for the view, cells cannot be selected and the handle does not appear; see Disable Inline Edit.

Using the fill handle in each view type

The handle belongs to the Grid view, which is the only view type that edits records in cells.

Undoing a fill

Press Ctrl + Z (Cmd + Z on a Mac) to undo the fill. See Undo / Redo Actions.

Frequently asked questions

Can I fill across a row as well as down a column?

Yes. Drag the handle across the cells you want to fill, in either direction.

Why did some cells not fill?

They belong to a field you cannot edit. The fill skips cells you lack permission to change.

How do I number a list of records?

Type 1 and 2 in the first two cells of a Number field, select both, and drag the handle down the list.
