Get started with dashboards

Learn how Dashboards can give you visual access to all of your SmartSuite data and helpful information.

Written by Peter Novosel

A dashboard is a view built from widgets. A widget is a panel that shows one thing: a chart, a metric, a saved view, a block of text or an embedded page. The widgets can draw on any table in the workspace, on one page or across tabs.

Here is the test: do people need several answers on one screen, or answers from several tables? If yes, build a dashboard. If they need the rows of one table, a saved view is enough.

Example: a Vendor Management solution. The Security lead builds a public dashboard called Vendor risk overview on the Vendors table. A Hero carries the program title. A Summary Card counts open findings. A Column chart shows findings by severity. The register sits below as a Grid View widget. A Filter Widget on Vendor Tier narrows all of them at once. Finance reads the metrics, Security fixes findings through the drill-in, and the auditor opens a read-only link.

What a dashboard is

A dashboard is one of the eleven view types under Create New View in the View Panel. It belongs to a table like any other view, but its widgets can show data from any table in the workspace. That is the difference from a saved view: a grid shows one table, a dashboard shows whatever its widgets point at.

A dashboard has two modes, chosen with the View | Edit switch in the upper right. A new dashboard opens in Edit mode, where you add, move and set up widgets. When you open it again later it opens in View mode, where the widgets are read and used but not rearranged. In View mode the header keeps only the switch; the Add Widget button and the gear appear in Edit mode.

Every widget respects the permissions of the person looking at it. Record permissions and field permissions apply to the records a widget shows, in the same way they apply in a grid. See Dashboard Settings.

Note: Two members can see different numbers on the same widget. A Summary Card counts only the records its viewer is allowed to see.

The widgets

In Edit mode, Add Widget opens the Add New Widget sidebar on the right. It has a Search Widget box at the top and thirteen collapsible categories; only Page Display is open to start. Type part of a name to filter the cards. Each card shows a thumbnail, the widget's name and an info icon whose tooltip describes it. A card that carries a badge in place of the info icon cannot be added yet. The categories below are in the sidebar's order, with every card.

Page Display

Hero, Simple Banner, Heading, FAQ, Webpage, Text Block, Spacing and Divider. These frame the page: a title block, a notice, a heading between sections, a block of instructions, a gap or a line. Each has its own article.

Record Display

Record Selector and Record Details; Record History, Record Comments and My Work carry a badge and cannot be added yet. Record Selector lets the viewer pick one record, and Record Details then shows that record. See Record selector widget and Record details widget.

Actions

Filter Widget and Button Row. The Filter Widget narrows several widgets at once from one control. The Button Row holds buttons that open a link, a form or a new record. See Filter widget and Button row widget.

Metrics

Comparison Metric, Progress Metric and Summary Card. A Comparison Metric sets a recent period against a past one. A Progress Metric shows a value against a goal. A Summary Card shows one number, such as the count of open findings.

Views

Grid View, Card View, Kanban View, Timeline View, Calendar View, Chart View, Pivot Table and Gantt View; Map View carries a badge and cannot be added yet. The six view widgets show a saved view of a table inside the dashboard. Chart View embeds a saved Chart view. Pivot Table analyzes a table by rows, columns and values. See View-based widget settings and Pivot table widget.

Charts

One card per chart type, fifteen in all. The cards are Bar, Stacked Bar, 100% Stacked Bar, Column, Stacked Column and 100% Stacked Column. Then Donut, Pie, Area, Stacked Area, 100% Stacked Area, Line, Heatmap, Bubble and Scatter. Every card opens the Chart widget with that type chosen, and the type can be changed in the widget's settings. See Chart widget and Visualize Data with Charts.

Tip: Start with one Filter Widget and the data widgets it drives. Add the Hero, headings and dividers last, once the numbers are right.

Public, private and shared dashboards

Public and private. The Create New Dashboard dialog offers Public and Private. A public dashboard is seen by every member who can open the table. Solution Managers and members with Full Access create public dashboards and edit them. Every member can create a private dashboard that only they see. See Dashboard Settings and View Panel: create, organize and lock views.

Shared. A dashboard can be shared outside the workspace as a read-only page. The share icon next to the dashboard name, with the tooltip Share Dashboard, opens the Share this View window with a link, an embed code and four settings. See Public Dashboard Sharing.

Moved. A dashboard can be moved to another table or solution and keeps its widgets. The steps are in How to Create a Dashboard.

Frequently asked questions

Can one dashboard show data from several tables?

Yes. Each widget chooses its own source table, so one dashboard can show Vendors, Contracts and Findings side by side.

Does a dashboard show records a viewer is not allowed to see?

No. Record and field permissions apply inside every widget, so each member sees only what their role allows.

Can I share a dashboard with people outside SmartSuite?

Yes, as a read-only page. Select the share icon next to the dashboard name and turn the switch on. See Public Dashboard Sharing.

Which widgets work in the mobile app?

Most do. The full list is in Mobile Dashboard Widgets: Supported Features and Limitations Guide.

Can I move a dashboard to another table?

Yes. Open the dashboard's menu and select Move to another Table, then pick the solution and the table. See Create a dashboard.
