How do I comment, mention and assign work: Collaborating in SmartSuite

Discuss work inside records with comments and @mentions, follow records, and turn records, comments and checklist items into tasks.

Written by Emma Montgomery

Collaborate inside the record: open the comment panel to discuss it, @mention members to notify them, follow a record to get every update, and assign a record, comment or checklist item to turn it into a task that appears in that person's My Work. Every @mention and assignment sends a notification to the Notification Center.

Feature overview video

SmartSuite is built from the ground-up to prevent shifting between where conversations about work are happening to the system and where the actual work is being done. This collaboration in the context of work saves time and helps ensure important actions identified in the course of discussion are assigned and completed.

Collaboration in SmartSuite mimics the natural behaviors of individuals and teams as they come together to get work done. These features are central to the premise of our work management platform.

How does real-time collaboration work?

You always work on the current version of a record.

Multiple Members can access and update records simultaneously. They see other team members viewing the record or making field-level updates. In this context, Members are a click away from opening the comment panel to strike up a discussion.

In Grid View you can also see team members working across several records at once.

How do comments, @mentions and notifications work?

Clicking the comment icon in any record expands the discussion panel. Create a new Comment at the bottom with full, rich text options and the ability to inject sentiment with emojis, @mention Members, and add images or files.

@Mentions bring Members into conversations and alert them to responses. Type '@' to search and select the member directory. Every @mention triggers a notification and the Notification Center, which typically is the first spot Members check to get across recent work activities.

How do I assign work?

Clear and effective task delegation is key to facilitating intra-team and intra-departmental workflow.

SmartSuite does not have a concept of a stand-alone "task" or a dedicated "task table". Focus is centered on the work that needs to get done, by who, and by when.

Records, Comments, and Checklist items can be assigned in SmartSuite - generically referenced as "tasks." Assigned items appear in members' My Work feed. New assignments trigger notifications in the Assigned to Me tab in the Notification Center.

How does a record become a task?

The Assigned To field designates a record to a member or team (who) . When combined with the Status field, it transforms records into actionable tasks. This setup enables automations to create simple workflows, if a Due Date is added, that becomes the when.

Key relationships

  • Assigned To + Status → Creates a task in My Work.

  • Due Date + Status (Optional) → Helps track deadlines but isn't required.

  • Multiple Assigned To fields linked to the same Status → If one person updates the status, it applies to all assigned members.

Frequently asked questions

Do I get notified when someone @mentions me in a SmartDoc field?

Yes. @mentions in comments, SmartDoc fields and checklist fields all send a notification to your Notification Center.

If I assign a task to someone, are they notified?

Yes. A new assignment sends a notification to the Assigned to Me tab of their Notification Center, and the item appears in their My Work.

Where do I add a one-off task?

Any record can be a task: add an Assigned To field for the who and a Status field for the state, and a Due Date if you want the when. There is no separate task table.

How do I see the tasks I have assigned to other people?

Create a view on the table and filter by the Assigned To field, or group the view by Assigned To.

Should I @mention someone or assign the comment to them?

@mention to bring them into the discussion; assign the comment when it needs an action. An assigned comment becomes a task in their My Work; a mention only notifies them.
