Invite your team and set roles in your first week

Invite members by email from Manage Members, choose a role and type for each, and add them to Teams.

Written by Peter Novosel

Administrators invite members from Manage Members: enter the email addresses, choose a role and a type for each person, add them to Teams and click Send Invitations. On paid plans a member is billed when they accept the invitation, so invite the whole team at once.

About 10 minutes.

Which role do I give each person?

A role sets what a member can do in the whole workspace. Choose it when you invite; an Administrator can change it later and the change applies at once.

Role.

Give it to.

What they can do.

Workspace Administrator.

The one or two people who run the workspace.

Everything: invite and manage members, Teams, billing, settings and every solution, including private views.

Solution Creator.

People who will build solutions.

Create solutions from templates or from scratch. They become Solution Manager of each solution they create.

General Access.

Most members.

Work in the solutions and tables shared with them or their Teams, comment, mention, star items and use the Member Directory.

Solution Manager is a permission on one solution, not a role: a General Access member with it can change that solution's tables, fields, permissions and automations.

How do I invite someone? (3 minutes)

  1. Open the Sidebar Menu in the upper-left corner and select Manage Members. The same page is under your profile icon > Workspace Administration > Manage Members.

  2. Click Invite New Members.

  3. In Email Address, enter one or more addresses separated by commas.

  4. In Role, choose the role from the table above.

  5. In Type, choose the member type.

  6. In Teams, add the person to the Teams they belong to.

  7. Click Send Invitations. Each person receives an email.

Note: You can also invite from the Invite Members button in the My Workspace section of the sidebar, from the Member Directory, or with Add New in an Assigned To field's dropdown.

How do I put people in Teams?

A Team is a named group of members. Share a solution with a Team once, and everyone you add to that Team later gets the same access. Add people to Teams in the invite dialog, or later from Manage Members: click the member's name, click Edit in Workspace Information, change Teams and click Update Workspace Information. Creating Teams is in Introduction to Teams.

How do I give them access to a solution?

A new solution is Private to Me. To share it, open the solution's dropdown, choose Permissions and pick All Members Have Full Access, Only These Teams Have Full Access or Advanced Permissions, which sets a level per member or Team.

Note: An invited member can be assigned tasks and added to Teams as soon as the invitation is sent, but cannot be @mentioned until they accept.

How do I see who has accepted?

  1. On Manage Members, open the Display dropdown.

  2. Select Status and filter by Invited.

  3. Click Resend beside a Pending member who did not receive the email.

Frequently asked questions

The invitation email never arrived. What do I do?

On Manage Members, filter Status to Invited, find the member and click Resend. Ask them to check their spam folder. If it still does not arrive, contact support through the message icon in the product with the address so it can be checked.

Will I be charged for a member I invite?

On paid plans the member is billed when they accept the invitation and sign in for the first time. The pricing page states that read-only users, commenters and form submitters are not billed. Detail is in Managing & Inviting Members.

How do I change someone's role later?

On Manage Members, click the member's name, click Edit in Workspace Information, choose the new role and click Update Workspace Information. The change applies instantly.

How do I remove someone who was invited but never joined?

Administrators can delete an invited member at any time: filter Status to Invited on Manage Members and delete the invitation.

Can a General Access member build a solution?

Only on a solution where they hold the Solution Manager permission. To let someone create new solutions, give them the Solution Creator role.
