Permissions in five minutes

Roles say what a member can do in the workspace; permissions say what they can see and edit in a solution, table or field.

Written by Peter Novosel

A role says what a member can do in the workspace; a permission says what they can see and edit in one solution, table or field. Set the solution permission first, then narrow it with table and field permissions, which are available on Professional and Enterprise.

About 5 minutes.

Plan Availability

Solution permissions on all plan types. Table and field permissions on Professional and Enterprise.

Permissions

Administrators and Solution Managers set permissions. Administrators and Solution Managers always keep full access to a solution's data and settings.

What is the difference between a role and a permission?

.

Role.

Permission.

Applies to.

The whole workspace.

One solution, table or field.

Set by.

Administrators, when inviting or on Manage Members.

Administrators and Solution Managers, from the solution, table or field menu.

The values.

Workspace Administrator, Solution Creator, General Access.

Solution: four modes. Table: seven levels. Field: who can view, who can view and edit.

Example.

A Solution Creator can create solutions.

A Team has Viewer access to the Contracts table.

What are the four solution permission modes?

  • Private to Me: the default for a new solution. Only you and the Administrators see it. Use it while you build.

  • All Members Have Full Access: everyone in the workspace can create, read, update and delete records.

  • Only These Teams Have Full Access: one or more Teams get full access; nobody else sees the solution.

  • Advanced Permissions: pick members or Teams one by one and give each a level from Full Access down to Viewer.

What are the table permission levels?

A table inherits its solution's permissions unless you choose Override Solution Permissions and set levels per member or Team.

Level.

What it allows.

Full Access.

Create, edit and delete all records.

Editor.

Create and edit their own records; view everyone else's.

Contributor.

Assignee.

Assignee+.

Assignee, plus create records that are auto-assigned to them.

Commenter.

View and comment on all records; no creating or editing.

Viewer.

Read-only.

What do field permissions control?

Each field has Who Can View and Who Can View and Edit, each set to Everyone, Everyone Except, Selected Members and Teams, or Nobody. Nobody hides the field from everyone except Solution Managers and Administrators; system fields such as the Title, Auto-Number, First Created and Last Updated cannot be set to Nobody.

How do I set a solution's permissions? (1 minute)

  1. Open the solution's dropdown menu and choose Permissions.

  2. Pick one of the four modes.

  3. For Advanced Permissions, add each member or Team and choose their level, then save.

Which three settings matter in the first week?

  1. Keep a solution Private to Me while you build it, then share it. Nobody sees half-finished work.

  2. Share with Teams, not individuals. New members get access by joining the Team.

  3. Use Contributor or Assignee on a table when people should edit only their own work.

Frequently asked questions

Why can my teammate not see the solution I built?

A new solution is Private to Me. Open its dropdown, choose Permissions and share it with all members or a Team.

Can a General Access member change a solution's structure?

Only with the Solution Manager permission on that solution. Without it they work in the solution but cannot change its tables, fields or permissions.

Can I hide one field, such as a salary, from most people?

Yes, on Professional and Enterprise: set the field's Who Can View to Selected Members and Teams. Everyone else does not see the column.

Do guests see everything in a solution they are added to?

A guest must be added to the solution to reach the records assigned to them; table and field permissions then apply as for any member.

Who can always see everything?

Administrators and Solution Managers keep full access to all data and settings in the solution, whatever the table and field permissions say.
