Overview
When you create a new SmartSuite workspace, you choose the Data Region where that workspace's data is stored. Two regions are available: the United States and the European Union.
Your workspace and its data are created in the region you select, from the moment the workspace exists. The region is not applied afterward and does not involve a migration.
If your organization has data residency obligations, or your customers expect their records to stay within a particular jurisdiction, this is where that requirement is met.
Where to Find the Data Region Selector
The Data Region selector appears on the Setup Trial Workspace step of sign-up, below Workspace Name and Industry.
It appears on every path into a new workspace:
Signing up as a new user with an email address
Signing up as a new user with a social account
Creating an additional workspace as an existing SmartSuite user
The selector is pre-filled with the region suggested by the location you are signing up from. You can change it before you continue.
Your selection is saved alongside the rest of your sign-up progress. If you reload the page partway through, the region you chose is still selected.

These are the same regions described in SmartSuite and GDPR.
Choosing a Region
Most people can accept the region the selector suggests and continue. Consider changing it in these cases:
Choose the European Union when your organization is required to keep data within the EU, when a customer contract or procurement review specifies EU storage, or when a security questionnaire asks where your data is held.
Choose the United States when you have no specific residency requirement, or when your own policies specify storage in the United States.
Note:
The Data Region is set when the workspace is created. If you have a requirement to meet, select the region before you finish sign-up.
The Data Region applies to the whole workspace. It is not set per user, per solution, or per table.
After Your Workspace is Created
Day-to-day use is the same in either region:
One address. There is no separate regional URL to remember.
One login. There is no second set of credentials to manage.
Automatic routing. Requests reach your workspace's region without anyone choosing again.
Invitations follow the workspace. Invites and shared links resolve to the workspace's region, wherever the person opening them is located.
FAQs
Can I change the Data Region after my workspace is created?
No. The Data Region is set when the workspace is created and cannot be changed from within SmartSuite afterward. If your requirements change, contact our support team to discuss your options.
Do I need a different address or login for a European Union workspace?
No. There is one SmartSuite address and one set of credentials regardless of region. Requests are routed to your workspace's region automatically.
Which region is selected by default?
The selector is pre-filled with the region suggested by the location you are signing up from. You can change it before you finish sign-up.
Can members in other countries use a workspace created in the European Union?
Yes. The Data Region determines where the workspace's data is stored, not who can access it. Members sign in from anywhere and reach the same workspace.
Does the Data Region affect which features I get?
No. Your plan determines which features are available to your workspace. The Data Region determines where your workspace's data is stored.
What region do workspaces created before this option use?
Existing workspaces keep the region they were created in. If you are not sure which region a workspace uses, contact our support team.
