Calendar view widget

Written by Emma Montgomery

The Calendar View widget shows a table's records on a calendar inside a dashboard. Each record sits on the day of the date field you choose, in a Day, Week, Month, Year or List layout. It is the Calendar view, placed on a dashboard.

Here is the test: do viewers plan by the day or the week from the dashboard? If yes, add a Calendar View widget. If they need durations and overlaps side by side, use the Timeline View widget. If the dates depend on each other, use the Gantt widget.

Example: the Vendor risk overview dashboard in a Vendor Management solution. The Security lead adds a Calendar View widget titled Renewals this quarter on the Contracts table, by Renewal Date, the same setup as the Renewals calendar view. Finance switches it to Week before a payment run. Inline editing is off, so a renewal date cannot move by accident. The Vendor Tier Filter widget narrows the calendar.

Adding a Calendar View widget

  1. Open the dashboard and set the View | Edit switch in the upper right to Edit.

  2. Select + Add Widget in the toolbar. The Add New Widget sidebar opens on the right, with a Search Widget box and the widget categories.

  3. Expand Views and select the Calendar View card. Its info icon reads "Add a Calendar View in your dashboard".

  4. The widget modal opens: a live preview of the calendar on the left and the settings sidebar on the right. Set the source, the date field and the defaults as described below.

  5. Select Add Widget at the foot of the modal. Cancel discards the widget.

The widget lands at the top left of the dashboard at half the row's width; the next widget lands beside it. There is no Save button on a dashboard: Add Widget is the commit. Drag the handle on its right or bottom edge to resize it; see Managing Widgets.

The widget settings

The settings sidebar is the one every view-based widget shares. It has three tabs: General, Toolbar and Actions. Each tab is a set of sections you can expand and collapse. Every row is described in View-Based Widget Settings. This section covers what the Calendar View widget does with them.

General

Heading. Title is a text box, prefilled with "Calendar View"; type the widget's name, Renewals this quarter here. Description is a switch, off to start. Turn it on and a rich-text box appears with two position tabs, As A Tooltip and Below The Title. Below The Title is selected to start.

Source. A button that shows the table's name with the line "Solution: <solution name>". It opens a two-level picker: the current solution's tables, and a back chevron to every solution you can see, with a search box. Pick the solution, then the table. For Renewals this quarter the table is Contracts. A widget's source is a table, not a saved view; the date fields and filters are set in View Configuration. The preview takes the table's first date field until you change it.

View Configuration. One row per control, each with its current value as a badge: By (its badge counts the date fields), Sort, Filter, Group and Spotlight. There is no Fields to display row and no Search row here. Select a row and the control's usual popup opens inside the modal; the preview updates at once.

By

The By row opens the Date Fields popup. Its line reads "Select date fields to be displayed in the calendar". Each row is a field dropdown, offering the table's date-type fields, with a color dot and a remove button. Add another field adds a second date field in its own color. Two checkboxes follow. Add Other Calendars is off to start; its info icon explains that it places public Calendar views from other tables on this calendar. Display Weekends is on to start. Need help and Done close the popup.

For Renewals this quarter the field is Renewal Date. The Audit Fieldwork Window is added as a second field in a second color, so the auditor's weeks show behind the renewals.

The widget opens on Month. The Calendar View widget has no Display Options section, so there is no record limit on it.

Tip: Give a Month calendar the full row or its own tab. At half width a month is cramped, and the layout buttons fold into a dropdown.

Toolbar

Preset Filters offers three cards, None, Dynamic and Static; None is selected to start. The steps are in Filters in View-Based Widgets.

Toolbar Elements is one switch per control, all on to start: By Date, Sort, Filter, Group, Spotlight and Search. By Date is the date-field control; it reads By in View Configuration and on the toolbar. Show all and Hide all change every switch at once.

Actions

User Actions carries two switches on the Calendar View widget, both on to start.

  • Open Record Details lets a viewer open a record from the calendar.

Buttons holds + Add Button, which opens the Button Settings popover; see View-Based Widget Buttons.

Permissions

Solution Managers and members with Full Access add a Calendar View widget to a public dashboard and change its settings. The owner does the same on a private dashboard. Every member who can open the dashboard sees the widget; see Dashboard Settings. What a viewer can do inside it is the smaller of two things: the switches on the Actions tab, and their own permissions in the table. A member who cannot edit Contracts cannot move a date, whatever the switch says. On a shared dashboard the calendar shows to anyone with the link; see Public Dashboard Sharing.

Using the widget

In View mode the widget shows the calendar with a header row above it. The row holds Today, the previous and next arrows and the month name. Then come the layout buttons Day, Week, Month, Year and List, and Record listing. Records show as colored bars with their status icon; a day with more records than fit shows "+2 more".

The Record listing button opens a panel at the right. The panel lists one card per record with its title and dates, and reads "You can schedule these contracts by dragging them onto the calendar". A viewer drags a card onto a day when Edit Records Inline is on. Select a day's + to add a record with that date set.

Note: In a narrow widget the layout buttons become one dropdown. Nothing is lost; every layout is still in the list.

A Filter widget on the same table narrows the calendar when the two are connected; the Calendar View widget is offered in its connection list. See Filter widget. Hover over the widget for the Full Screen icon and the three-dot menu at its top right.

A viewer's layout, sort or filter change in the widget lasts until the dashboard reloads; the defaults come back.

Editing a Calendar View widget

In Edit mode, hover over the widget. A strip appears with a drag handle (Drag Widget), Move Up, Move Down, Edit (its tooltip reads Edit Widget) and a three-dot More Options menu. Edit reopens the modal; change what you need and select the button at its foot. Closing the modal with its X after a change asks "Are you sure you want to exit without saving the changes you made?", with Exit Without Saving and Save Changes.

The More Options menu holds Minimize, Highlight Color, Duplicate Widget, Delete Widget and a Collapsed by Default checkbox. Delete Widget asks "Are you sure you want to delete the <name> widget?" with No, cancel and Yes, delete widget. The full set is in Managing Widgets.

Frequently asked questions

Which fields can the calendar use?

The table's date-type fields: Date, Due Date, First Created and Last Updated, and a Date Range. A Due Date or Date Range field spans its days as one bar.

Can the widget show dates from two tables?

Yes. Check Add Other Calendars in the Date Fields popup and pick a public Calendar view from the other table.

Why are the layout buttons a dropdown?

The widget is narrow. Widen it and the buttons return.

Can viewers drag a renewal to another day?

Only when Edit Records Inline is on and they can edit the table. The drop changes the record's date for everyone.

Why can I not see Saturday and Sunday?

Display Weekends is off in the Date Fields popup. Turn it on and the grid shows seven days.
