Gantt view widget

Written by Emma Montgomery

The Gantt widget draws a table's tasks as bars on a dashboard, with arrows between the tasks that depend on each other. Move one task and the tasks after it move too, as in the Gantt view. The table needs a Dependency field, which holds each task's start, end and predecessors.

Here is the test: should viewers see what slips when a task moves, from the dashboard? If yes, add a Gantt widget. If the records have dates but no dependencies, the Timeline View widget is simpler.

Example: the Vendor risk overview dashboard in a Vendor Management solution. The Security lead adds a Gantt widget titled Remediation plan on the Findings table, built on its Dependency field, the same setup as the Remediation plan view. Dependency arrows, task labels and the today line are on. The bars are grouped by Owner. Inline editing is on for Security, so a finding's dates can be dragged on the dashboard.

Adding a Gantt widget

  1. Open the dashboard and set the View | Edit switch in the upper right to Edit.

  2. Select + Add Widget in the toolbar. The Add New Widget sidebar opens on the right, with a Search Widget box and the widget categories.

  3. Expand Views and select the Gantt View card. Its info icon reads "Presents the data in the Gantt format".

  4. The widget modal opens: a live preview of the chart on the left and the settings sidebar on the right. Set the source and the defaults as described below. The table must have a Dependency field.

  5. Select Add Widget at the foot of the modal. Cancel discards the widget.

The widget lands at the top left of the dashboard at the full width of the row, unlike the Grid and Card widgets, which land at half width. There is no Save button on a dashboard: Add Widget is the commit. Drag the handle on its right or bottom edge to resize it; see Managing Widgets.

The widget settings

The settings sidebar is the one every view-based widget shares. It has three tabs: General, Toolbar and Actions. Each tab is a set of sections you can expand and collapse. Every row is described in View-Based Widget Settings. This section covers what the Gantt widget does with them.

General

Heading. Title is a text box, prefilled with "Gantt View"; type the widget's name, Remediation plan here. Description is a switch, off to start. Turn it on and a rich-text box appears with two position tabs, As A Tooltip and Below The Title. Below The Title is selected to start.

Source. A button that shows the table's name with the line "Solution: <solution name>". It opens a two-level picker: the current solution's tables, and a back chevron to every solution you can see, with a search box. Pick the solution, then the table. For Remediation plan the table is Findings. A widget's source is a table, not a saved view; the Gantt settings, group and filters are set in View Configuration.

View Configuration. One row per control, each with its current value as a badge: Settings, Sort, Filter, Group, Spotlight and Row Size. There is no Fields to display row and no Search row here. Select a row and the control's usual popup opens inside the modal; the preview updates at once.

Settings

The Settings row opens the Gantt Settings popup. Six checkboxes come first, in this order.

  • Show dependency arrows, on to start.

  • Task labels, on.

  • Highlight critical path, off.

  • Show project start and end points, off.

  • Show column lines, on.

  • Show today line, on.

Then Dependency Field names the field the chart is built on, with the line "The Gantt View is built based on this field's settings" and an info icon. The start and end dates and the milestone rule live in that field's settings; see Dependency Field. Need help and Done close the popup.

Remediation plan keeps the defaults and turns on Highlight critical path for the audit week.

Row Size

S, M, L or XL. M is the default. There is no Auto Size on a Gantt.

Display Options. Limit the number of displayed results is a checkbox, checked to start, with a number box set to 100. Uncheck it to show every task that passes the filter.

Tip: Group by Owner on the dashboard shows each person's chain of tasks without a filter. Each owner reads their own rows and the arrows that lead into them.

Toolbar

Preset Filters offers three cards, None, Dynamic and Static; None is selected to start. The steps are in Filters in View-Based Widgets.

Toolbar Elements is one switch per control, all on to start: Settings, Sort, Filter, Group, Spotlight and Row Size. There is no Search switch: the Gantt has no Find. Show all and Hide all change every switch at once.

Actions

User Actions carries two switches on the Gantt widget, both on to start. There is no Allow Printing or Allow Exporting switch; only the Grid View widget has those.

  • Open Record Details lets a viewer open a record from a bar or a row.

  • Edit Records Inline lets a viewer change cells in the left table and drag bars in the chart.

Buttons holds + Add Button, which opens the Button Settings popover; see View-Based Widget Buttons.

Permissions

Solution Managers and members with Full Access add a Gantt widget to a public dashboard and change its settings. The owner does the same on a private dashboard. Every member who can open the dashboard sees the widget; see Dashboard Settings. What a viewer can do inside it is the smaller of two things: the switches on the Actions tab, and their own permissions in the table. A member who cannot edit Findings cannot move a bar, whatever the switch says. On a shared dashboard the chart shows to anyone with the link; see Public Dashboard Sharing.

Using the widget

In View mode the widget has two halves. The left table lists the tasks with their Title, Start, End, Duration and Assigned to columns. The right chart draws a bar per task under a date header by week, with a red today line. A scale dropdown at the top right offers Days, Weeks and Months, Weeks to start, and a Today button returns to the current date.

With Edit Records Inline on, a viewer drags a bar to move a task. Dragging the bar's end changes the duration. Drawing a link from one bar to another creates a dependency. Tasks that depend on the moved task move with it when auto-scheduling is on in the Dependency field. Select a bar or a row to open the record when Open Record Details is on. Hover over the widget for the Full Screen icon and the three-dot menu at its top right.

Note: A link drawn in the widget is a real dependency, written to the Dependency field. It changes the table for every view, not only this dashboard.

A Filter widget on the same table narrows the chart when the two are connected; the Gantt widget is offered in its connection list. See Filter widget.

A viewer's sort, filter or scale change in the widget lasts until the dashboard reloads; the defaults come back. The widget is web only.

Editing a Gantt widget

In Edit mode, hover over the widget. A strip appears with a drag handle (Drag Widget), Move Up, Move Down, Edit (its tooltip reads Edit Widget) and a three-dot More Options menu. Edit reopens the modal; change what you need and select the button at its foot. Closing the modal with its X after a change asks "Are you sure you want to exit without saving the changes you made?", with Exit Without Saving and Save Changes.

The More Options menu holds Minimize, Highlight Color, Duplicate Widget, Delete Widget and a Collapsed by Default checkbox. Delete Widget asks "Are you sure you want to delete the <name> widget?" with No, cancel and Yes, delete widget. The full set is in Managing Widgets.

Frequently asked questions

Why can I not add a Gantt widget for my table?

The table has no Dependency field. Add one in the table first; the Gantt view and the widget are built on it.

Do dependency changes in the widget write to the table?

Yes. A moved bar changes the task's dates, and a drawn link adds a predecessor in the Dependency field. Every view of the table shows the change.

Which dependency types does the widget show?

Finish-to-Start, Start-to-Start, Finish-to-Finish and Start-to-Finish, with lag, as set in the Dependency field. The arrows follow the field; see Dependency Field.

Can viewers link tasks?

Only when Edit Records Inline is on and they can edit the table.

Can viewers export the chart?

There is no Allow Exporting switch on the Gantt widget.

Does the widget work in the mobile app?

No. The Gantt widget is web only.
