SmartDoc: Collaborative Mode

SmartDoc Collaborative Mode is designed to transform the way you work on documents, making it easier than ever before to collaborate with others in real time. Imagine working on a document with a colleague where you both can see each other's edits, cursor movements, and even where your colleague is focusing their attention - all in real time.

Enabling Collaborative Mode​

The collaboration feature of SmartDoc is enabled automatically when two separate users edit the same SmartDoc field simultaneously. ​

Real-Time Edit Display

When multiple users open the same SmartDoc, edits made by one user are instantly visible to others, even before the document is saved. You can see your collaborators' cursor movements and text input in real time, ensuring everyone is on the same page.

Document State Preservation

During a collaborative session, if a user exits the document without saving, their edits are not lost. When they return to the collaboration, they see the document's current state, complete with other users' edits.

This feature ensures that no work is accidentally deleted, allowing for uninterrupted collaboration.

Important!

Note that if the last collaborator exits a session without saving the changes, the original SmartDoc content will be preserved and the content added during the collaboration will be discarded.



Saving SmartDocs During Collaboration

When a collaborative user saves the document, their edits are reflected in real-time, and the document's state is updated accordingly. Any collaborator can click the Save button or press CONTROL-S to update the permanently-stored version of the SmartDoc.

NOTE

The record's SmartDoc content reflects the last save made by a collaborator. If edits are made to the SmartDoc while it is in collaboration mode, the collaborators' version of the SmartDoc will replace the prior SmartDoc content.


Multiple Collaborators

SmartDoc Collaborative Mode can accommodate multiple simultaneous collaborators. Whether you're working with two colleagues or an entire team, everyone can contribute at the same time.

Each collaborator's cursor position and recent edits are highlighted with different colors, as shown in the screenshot below:
