Automation Actions explained

Every automation action, from Create a Record and Update Records to Send an Email, Find Records, Generate PDF and Send Webhook Request.

Written by Emma Montgomery

An action is what an automation does after its trigger fires: create, update, delete, find or merge records, send an email, add a comment, generate a PDF or send a webhook. Choose it under Then do this; each automation can hold up to 10 actions.

Plan Availability

All plans. The Find Records limit is the one value that differs by plan: up to 100 records on Team, 250 on Professional, 500 on Enterprise and 1,000 on Signature.

Permissions

Administrators, in any solution, and Solution Managers, in the solutions they manage, add and change actions.

My automation did not fire: check these five things, in order

The first three checks apply to every automation; the last two are about actions. You need the Administrator role, or the Solution Manager role for the solution, to open History and change the automation.

  1. The monthly action limit. Administrators open Workspace Administration > Usage to see the actions used this month against the plan allowance. At 100 percent every automation in the workspace pauses until the monthly reset, or resumes at once when the auto-billing toggle for add-on blocks is on. See Automation Limits.

  2. The toggle. Open the automation from Automations in the Solution Menu. The toggle to the right of its name must show the green ON state; an automation that is off does not run.

  3. History. Select History. Each run shows its status, duration and the step that failed; open a failed run for the error message, fix the cause and select Re-run Automation. The action errors and their fixes are in Common Automation Error Troubleshooting.

  4. Find Records found nothing. A Find Records action set to fail when no records are found stops the run at that step. Open the step, widen its conditions or switch the setting to continue. See Decide how to proceed if no records are found.

  5. An action's input is gone. Field is Missing means a field the action writes was deleted. Unable to find choice means the value is not an option in the Select field. Missing record ID in inputs means an Update Records step points at a record that is not the trigger record, so add a Find Records step before it. See What happens at runtime.

If no run is listed, the trigger never fired; the causes are in Automations explained: check these five things. Still stuck: the chat button in the lower-right corner of SmartSuite shows the service status at the bottom of the panel, and Send a message in the same panel reaches support. Include the automation link, the start time of the run and the record name. The full fix guide is Fix an automation that did not run.

What changed

26 Oct 2026. This article was restructured. The checklist above was added, and the release notes that sat between the action list and Create a Record moved into this block and into Dynamic values and value pills. The Update Records steps were renumbered and the Find Records wording was reconciled with Looping. No product behavior, limit or price changed; the Last verified date at the end is the date of this edit.

Product changes to actions, newest first, each with its What's New post.

  • 21 May 2026: Microsoft Teams actionable notifications; see Actionable Notification: Microsoft Teams and the release post.

  • 7 May 2026: Dynamic values in URLs: links in Send an Email, Create a Comment and other rich text message bodies can carry field values and open the right record at runtime. Existing static links are unchanged; release post.

  • 26 Mar 2026: Auto Number fields offer two outputs in automations, the number only (the default, unchanged for existing automations) and the entire formatted field; release post.

  • 25 Nov 2025: Update Records can create new choices in Single Select and Multiple Select fields when the incoming value is not yet an option (the Create New Choices checkbox); release post.

What is an action?

An automation action is a step that performs a task, activity, event or change, such as sending an email.

Think of an action as: when something happens (the trigger) and these conditions are true, then this event (the action) occurs.

How do I select an action?

After you create the automation and pick its Trigger, choose the action to run when it fires. Select it in the Then do this section at the bottom of the right-hand column.

The Then do this section at the bottom of the right-hand column where the action is selected

The Then do this section at the bottom of the right-hand column.

Which actions are available?

The native SmartSuite actions are:

  • Create a Record.

  • Update Records.

  • Delete Records.

  • Send an Email.

  • Find Records.

  • Merge Records.

  • Create a Comment.

  • Generate PDF.

  • Send Webhook Request.

The integration actions cover Slack, Microsoft Teams, Gmail, Outlook, Google Calendar, Google Drive, Google Sheets, HubSpot, Intercom, Jira, Salesforce and Twilio. The advanced logic actions are Looping, Conditional Logic and AI Workflow Agent. Both lists, with a link per action, are in Automations explained: What is an action?.

Create a Record

Whenever the trigger fires and the conditions are met, Create a Record adds a new record (row).

Select the Table the record goes in, then set the field values, which can come from the trigger record or from an earlier Find Records step.

The Create a Record action configuration

Update Records

Whenever the trigger and its conditions are met, Update Records changes values in one or more records. The records can be the trigger record or the records returned by a Find Records action.

Configuring the action takes these steps:

1. Select Solution and Table

Select the Solution and Table whose records you want to update. The default is the triggering Table.

2. Select records to update

If an earlier Find Records action targets the same Solution and Table, you can point the update at its output. The fields you specify are then updated in every record the Find returned, so build the Find to select only the records you want to change.

3. Specify fields to update

Once you have identified the records, specify the fields to change and their new values:

  1. Select Add Field under Fields to Update.

  2. Select the field to update.

  3. Specify the value: a field from the triggering record, a field from a Find Records result, or a fixed value such as a Status option.

  4. Repeat for each field to update.

4. Choose whether to replace, append or clear the value

For each field you can replace the value, clear it, or in some cases append to it.

Note: Append is available only for text fields and fields that hold several values, such as Checklist, Linked Record and Multiple Select.

5. Math operations

Numeric fields can be calculated in the Update Records action.

  • Use a static value typed by hand, or a dynamic value from another field.

  • Pick the operation from the operator drop-down to the left of the input: Add, Subtract, Multiply or Divide.

Note: the field being updated must already hold a value. Empty numeric fields are not treated as 0; if a field can be empty, set its default to 0.

6. Working with lists

For Linked Record and Multiple Select fields you can choose to parse the value you map into the field. For example, a GET_LIST formula that returns a list of Linked Record titles can be mapped into the matching Linked Record field with the parse box checked.

Note: the list must be separated by semicolons (;). If another separator is used, replace it with a semicolon through the REPLACE() function in a formula first.

7. Adding new choices

Update Records can add new choices to Single Select and Multiple Select fields. When the automation receives a value that is not yet an option, it creates the option. Select the Create New Choices checkbox in the action to turn this on.

8. Auto Number fields in automations

Auto Number fields offer two output options when you add their value to an action. Existing automations keep the number-only output; the entire formatted field, with leading zeros, prefixes and suffixes, is the second option.

Available Auto Number options

Auto Number returns the numeric value only. This is the original behavior and the default for existing automations; a value displayed as 001 is passed as 1.

Auto Number, Entire field returns the full formatted value as text, including leading zeros, prefixes and suffixes; 001 is passed as 001.

When to use each option

  • Use Auto Number when the automation needs the value as a number.

  • Use Auto Number, Entire field when formatting matters, such as a customer-facing email or a formatted reference number passed to another step.

Important: the Entire field option is available for automation outputs but is not fully supported in automation conditions. Backend filtering does not support the formatted string, so only the numeric Auto Number option is fully supported in conditions.

Delete Records

Delete Records is configured like Update Records, but it deletes the records instead of changing them. The only choice is which records to delete: by default the triggering record, or the records returned by an earlier Find Records step.

In the example below, a record in Accounts is deleted when its status becomes Canceled.

Find Records

Find Records builds a list of one or more records that match your conditions. A later Update Records action can change every record in the list, and a Looping action can repeat a set of actions for each record. A scheduled automation that works through a source table and updates the matching records in another table is a typical use.

The find is configured as follows:

1. Records to find

First decide whether the find returns a single record or multiple records.

  • Single Find returns one record, the first that matches your conditions. All of its fields can be used in any later action, as fields from the trigger can; for example, find a customer record and use its name in an email.

  • Multiple Find returns a list of records. Later actions cannot read an individual record's fields from the list, with the two exceptions below.

Note: two exceptions. When Multiple Find and Update Records target the same table, the update changes every record found at once. A Looping action repeats its actions once for each record in the list, so you do not need nested loops. In every other case use Single Find when a later action needs the record's data.

2. Select Solution and Table

Identify the Solution and Table to search with the Solution and Table drop-downs.

3. Additional settings

Two settings narrow the result:

  • Limit number of records found. Available for multiple records only. It defaults to 100 and can be set from 2 up to the plan maximum: 100 on Team, 250 on Professional, 500 on Enterprise and 1,000 on Signature. Setting it to 1 switches Records to Find to A Single Record.

  • Sort the records found by. Sets the order of the matched records. For example, with the limit set to 2 and a sort on Last Updated, the find returns the two most recently saved records.

4. Name the search (optional)

Name the search so it is easy to pick in later Update Records actions, which helps when an automation has more than one Find Records action.

5. Decide how to proceed if no records are found

Choose whether the automation continues or fails when the find returns no records. A find set to fail stops the run at that step, and the run shows it in History.

6. Specify conditions for the find

Set the conditions that match records in the target Table; select Add Condition for each extra condition row.

With several conditions, choose whether all must be true (AND) or any one is enough (OR).

Send an Email

Send an Email creates a SmartSuite notification: an email message plus an alert in the notification center.

Send To

Set the recipients, the subject and the message sent each time the automation fires. CC and BCC recipients are optional.

Reply to

The email is sent from the SmartSuite mailbox; set a reply-to address so replies reach your own inbox.

Email contents

Set the subject, the message and any attachments. Select the + icon to add field values from the triggering record.

When the automation fires, the email goes to every recipient with the field values filled in.

Notification center message

Set the short text shown in the SmartSuite notification center when the notification fires. It can include field values.

Recipient limit

Note: up to 50 addresses in total across Send To, CC and BCC. More than 50 can cause delivery errors.

Some file types cannot be sent by email; the list of unsupported types is in the AWS documentation.

Merge Records

After you pick the trigger, select Merge Records from the SmartSuite section of the Add Actions list.

There are three ways to merge a field:

  • Replace overwrites the original record's value with the value from the record being merged.

  • Append adds the merged record's value to the original value. Only text fields and fields that hold several values, such as Multiple Select, offer it.

  • Ignore keeps the original record's value and discards the merged one.

The full steps are in Automation Action: Merge Records.

Create a Comment

Create a Comment adds a comment to a record and can assign it to a member, who then receives an email and a notification center alert.

1. Select the records to comment on

Choose the record: the trigger record, or records found in an earlier Find Records step.

2. Specify the comment contents

Set the comment, the Assign To member and any attachments. Select the + icon to add field values from the triggering record.

When the automation fires, the comment is added to the selected records.

Generate PDF

Generate PDF creates a PDF from record content inside an automation. Later actions can use the file: attach it to an email, add it to a record, or pass it to any action that accepts a file.

Key features

  • Generates PDFs in SmartSuite's default format or from a custom Document Designer template.

  • Runs on any trigger, such as a record being created or updated.

  • Lets you choose which record data to include and set the PDF title.

Setup and configuration

  1. Prerequisites:

    • No additional setup required for the default PDF export.

    • Custom templates require Document Designer configuration.

    • Permissions: Solution Managers or Administrators can set up this action.

  2. Creating an Automation:

    • Navigate to Solution Automations.

    • Select Add Automation and choose a trigger (e.g., “When a Record is Created”).

    • Select the Generate PDF action.

  3. Customization Options:

    • Select Record: Choose which record will generate the PDF.

    • Choose Template: Use default export or select a Document Designer template.

    • Set File Name: Define the PDF title using record fields.

  4. Using the Generated PDF:

    • As a File: Attach to emails, add to records, or upload within workflows.

    • As Text: Use the PDF URL or file name in text-based fields.

The full steps are in Automation Action: Generate PDF.

Send Webhook Request

Send Webhook Request calls an external system with an outbound REST API request. It supports GET, POST, PUT, PATCH and DELETE, so an automation can send data to a CRM, a project tool or a messaging platform such as Slack or Teams.

Setup and configuration

  1. Specify the webhook URL. Enter the external system's endpoint; SmartSuite validates the format and blocks internal addresses.

  2. Choose the HTTP method: GET, POST, PUT, PATCH or DELETE. POST, PUT and PATCH carry a request payload.

  3. Define headers and URL parameters. Set custom headers, such as authentication tokens or API keys, and key-value pairs for URL parameters.

  4. Configure the payload for POST, PUT and PATCH: choose JSON, text or nested objects and structure it as the receiving API expects.

  5. Handle the response. Paste a sample response and map its fields for later steps. The HTTP response code (200, 404 and so on) is passed to later steps as a number, so a condition can branch on it.

  6. Timeout and testing. Requests time out after 30 seconds; errors appear in run history.

Dynamic values and value pills

Two builder features show where a dynamic value comes from and let a link carry one.

Value pill tooltips

Hover over a value pill in an action to see where its data comes from, for example Step 2: Create Record. The tooltip shows the origin of a dynamic value without leaving the builder.

Dynamic values in URLs

Since 7 May 2026, URL controls in Rich Text fields used in automation actions accept dynamic field values. A link in a Send an Email, Create a Comment or Microsoft Teams actionable notification message opens the right record at runtime instead of one fixed destination. The video shows it; the steps follow.

How to add a dynamic URL

  1. In any Rich Text field that supports URL formatting (a Send an Email body, a Create a Comment, SmartDoc content), highlight the text to turn into a link.

  2. Select the URL control in the Rich Text toolbar.

  3. In the URL input, type a static prefix such as https://app.smartsuite.com/, then use the field picker to insert values from the trigger record, a Find Records output or the current item of a Loop.

  4. Select outside the input to confirm. The highlighted text now shows as a link.

What happens at runtime

When the automation runs, every dynamic placeholder in the URL is replaced with the live value from the record before the action executes. If a referenced field is empty, that segment of the URL resolves to an empty string. If a referenced field has been deleted, the URL stays in an error state and the action fails, with the error captured in run history, so the automation does not send broken links.

Static URLs behave as they always have and open the same destination on every run.

Examples

  • Open a record from a notification. In a Send an Email action, highlight the text "View ticket" and link it to a base URL plus the record's id field. Recipients land on the record that triggered the workflow.

  • Pass record context to an external system. Build an outbound URL that includes a record identifier, for example https://example.com/incidents?ssrec=[Record ID], so the receiving system can look up the SmartSuite record.

  • Send a recipient to a personalized page. In an email body, link "Track your order" to a customer portal URL that includes the order number from a Linked Record lookup field.

Note: dynamic URLs work in every Rich Text URL control across SmartSuite, including SmartDoc fields, automation message bodies and embedded rich text inputs. Mix static and dynamic segments freely; the same URL can begin with a fixed base and end with a placeholder. Content written before 7 May 2026 keeps working unchanged.

Frequently asked questions

How do I generate a PDF and attach it to the record?

Add a Generate PDF action (default format or a Document Designer template), then an Update Records action that puts the generated file into a Files and Images field on the record. The PDF can also go into a Send an Email action as an attachment.

How do I run something at a set time every day?

Use the At a scheduled time trigger (see Automation Triggers) and add the action you need, such as Send an Email or Update Records.

A form in one solution should create a linked record in another solution. How?

Trigger on When a form is submitted, add Create a Record in the other table, and set its Linked Record field from the trigger record. Update Records can also append to Linked Record fields.

Find Records returns several records. Does Update Records change all of them?

Yes. When you point Update Records at the output of a multiple-records Find, every record the Find returned is updated.

How many people can a Send an Email action reach?

A Send an Email action reaches up to 50 addresses in total across Send To, CC and BCC.

Can an automation send a text message or post to Slack or Teams?

Yes. SMS, Slack and Microsoft Teams messages are automation actions (see the integration actions list), and Send Webhook Request can post to any system that accepts HTTP requests.

Does the 10-action limit depend on the plan?

No. Every plan allows up to 10 actions per automation; the per-plan values are the monthly action allowance and the Find Records limit.
