Risk assessment methods in SmartSuite GRC

How SmartSuite GRC assesses risk: qualitative ratings on five-level scales, semiquantitative scores from assigned values and formulas, and what it stores but does not calculate.

Written by Peter Novosel

SmartSuite GRC Products assess risk with qualitative ordinal ratings and semiquantitative scores, where Formula fields turn the number behind each rating into a score and a rating from 1-Low to 5-Critical. Enterprise Risk Management and Third-Party Risk also store quantitative estimates, such as an Annual Loss Expectancy in dollars, which SmartSuite records but does not calculate.

Example: a third-party risk team assesses a new vendor engagement. The assessor answers 14 questions, the weighted Risk Score comes to 2.57, and the engagement is rated 4-Significant, which sets Level II: Standard Due Diligence and a reassessment every 18 months.

How are qualitative ratings recorded?

Each rating is a Single Select field with labeled levels, so every assessor picks from the same list. A rationale field sits beside the ratings that need an explanation.

  • Enterprise Risk Management, Risk Register: Inherent Likelihood and Residual Likelihood run Remote, Unlikely, Possible, Very Likely, Almost Certain. Inherent Impact and Residual Impact run Insignificant, Minimal, Moderate, Significant, Critical. Each has a rationale field, and Likelihood Guidance and Impact Guidance hold the organization's definitions.

  • Third-Party Risk, Engagement RA: 14 questions in five domains, each answer rated 1-Low, 2-Moderate or 3-High.

  • Operational Resilience, Business Impact Analysis: Financial, Reputation, Operational and Regulatory Impact Rating, each from Low to High with its own rationale field.

  • Control Framework & Regulatory Libraries, Control Register: Control Effectiveness from Not Effective to Very Effective.

  • Issues Management, Issues: Impact from Low to High and Severity Rating of High, Medium or Low.

How do semiquantitative scores work?

Every rating choice carries a number. A Formula field reads that number with NUMERICVALUE, then multiplies, averages or weights it and bands the result back into a rating. The numbers are set in the field's Manage List with Include Value; see Formula examples: totals, text, dates and status.

The Inherent Likelihood list on a Risk Register record, showing the values 1 Remote, 2 Unlikely, 3 Possible, 4 Very Likely and 5 Almost Certain, each with its guidance line.

Each level carries a value: Remote is 1 and Almost Certain is 5.

Enterprise Risk Management: likelihood times impact

Likelihood and impact each carry a value from 1 to 5. Inherent Risk Score multiplies the two inherent values, so it runs from 1 to 25; Residual Risk Score multiplies the residual pair. Inherent Risk Rating and Residual Risk Rating band the score:

  • 1 to 3: 1-Low.

  • 4 to 6: 2-Moderate.

  • 7 to 10: 3-High.

  • 11 to 19: 4-Significant.

  • 20 to 25: 5-Critical.

Example: RISK006 Professional Liability Risk is Almost Certain and Significant, so its Inherent Risk Score is 20 and its rating is 5-Critical. After its controls, the Residual Risk Score is 4, rated 2-Moderate.

Priority Quadrant places each risk by its residual values. Top Risks pair high likelihood with high impact. Critical Outliers have impact 4 or 5 and likelihood 1 or 2. Flies on the Wall have likelihood 4 or 5 and impact 1 or 2. The rest are Low Risks. Effective Controls (%) shows the share of linked controls rated effective.

The Enterprise Risk Management Dashboard carries an Inherent Risk Heat Map and a Residual Risk Heat Map. Likelihood runs across, impact runs down, and each cell shows the average score of the risks in it.

Third-Party Risk: weighted domain scoring

The Engagement RA (engagement risk assessment) measures the inherent risk of an engagement before controls. The assessor answers 14 questions in five domains, and each answer is rated from 1 to 3. Each domain's average is multiplied by its weight, and the weights total 100:

  • Data Exposure: 30.

  • Operational: 25.

  • Technology and Connectivity: 20.

  • Regulatory: 15.

  • Reputational: 10.

Risk Score adds the five weighted domain scores, so it runs from 1 to 3. Vendor Impact Rating bands it:

  • 2.60 or more: 5-Critical.

  • 2.40 to 2.59: 4-Significant.

  • 2.20 to 2.39: 3-High.

  • 1.80 to 2.19: 2-Moderate.

  • Below 1.80: 1-Low.

The rating sets the Due Diligence Tier. 5-Critical is Level III: Enhanced Due Diligence, 4-Significant and 3-High are Level II: Standard Due Diligence, and 2-Moderate and 1-Low are Level I: Basic Screening. A reviewer who sets Override Impact Rating replaces the calculated rating.

On the engagement, Reassessment Frequency follows the Risk Ranking: every 12 months for 5-Critical, 18 for 4-Significant, 24 for 3-High, 36 for 2-Moderate and 60 for 1-Low. The Risk Ranking Breakout section shows each domain as Low, Moderate or High.

Third-Party Risk: residual risk and the vendor score

A Due Diligence review measures what remains after the vendor's controls. Inherent Risk is the highest Risk Ranking among the linked engagements. Residual Risk comes from the review:

  • Due Diligence Questionnaire reviews: Overall Score % measures compliance across the 17 answers, from 0 to 100. 92 or more is 1-Low, 85 is 2-Moderate, 77 is 3-High, 70 is 4-Significant and below 70 is 5-Critical.

  • AI Assisted Artifact Analysis reviews: any Non Compliant result makes it 5-Critical. Otherwise the share of Compliant results sets it, with the same thresholds.

On the vendor, Vendor Risk Score combines the ratings into one number from 0 to 100, where higher is riskier. Residual risk counts 50%, the Black Kite cyber rating 20%, the FHA score from Financial Viability 15%, service level results 10% and inherent risk 5%. Missing inputs are skipped and the rest re-weighted, and open issues add up to 3 points.

Vendor Tier (Calculated) bands the score. 70 or more is Tier 1 - Critical, 50 is Tier 2 - High and 30 is Tier 3 - Moderate. 15 is Tier 4 - Low, and below 15 is Tier 5 - Minimal. Vendor Tier Override replaces it when set.

Operational Resilience: business impact scoring

In a Business Impact Analysis (BIA), Impact Assessment Score averages the numbers behind the four impact ratings. Criticality (FX) bands it: 1.5 or less is Low, up to 2.5 is Medium, up to 3.5 is High and above 3.5 is Severe.

Criticality sets default recovery targets in hours: the RTO (recovery time objective), the RPO (recovery point objective) and the MTD (maximum tolerable downtime). Each has a manual override.

  • Severe: RTO 24, RPO 12, MTD 48.

  • High: RTO 48, RPO 24, MTD 72.

  • Medium: RTO 72, RPO 48, MTD 120.

  • Low: RTO 168, RPO 72, MTD 240.

Does SmartSuite calculate quantitative or probabilistic risk?

No. SmartSuite does not run Monte Carlo simulations, FAIR calculations or regression analysis. Two Products store quantitative figures that a person or another tool produces:

  • Enterprise Risk Management: Annual Loss Expectancy, a dollar amount entered for each risk at Risk Tier 1 to 3. The Risks by Loss Expectancy view and the Annual Loss Expectancy by Event Category chart total it.

  • Third-Party Risk: External Ratings records the provider's own figures. For Black Kite these are DBI (Data Breach Index, 0 to 1), RSI (Ransomware Susceptibility Index, 0 to 1) and BK - Financial Annualized Impact (Data Breach) in US dollars.

Note: these figures are inputs, not results SmartSuite calculates. A team that models loss in a FAIR or simulation tool can store the results in Currency and Number fields and chart them beside the rated risks.

Can I change the scales, weights and bands?

Yes. The numbers behind each rating, the domain weights and the bands are fields and formulas in the solution, so a Solution Manager or an Account Administrator can change them to match the organization's method.

  • Scale values: edit the Single Select field and set each choice's number in Manage List with Include Value.

  • Third-Party Risk weights: the five Domain Weight sliders sit in the hidden Admin section of the Engagement RA. Each domain score is multiplied by its weight divided by 100, so keep the five at a total of 100.

  • Bands: edit the Formula field, such as Inherent Risk Rating or Vendor Impact Rating, in the Advanced Editor.

Important: a Formula field recalculates every record when its formula changes, so earlier scores change with it. Ratings copied into a select field, such as Inherent Risk on a Due Diligence review past Final Review, keep their value.

Frequently asked questions

Is the rating scale the same in every Product?

No. Enterprise Risk Management and Third-Party Risk rate from 1-Low to 5-Critical. A Business Impact Analysis rates impact from Low to High and criticality from Low to Severe, and controls run from Not Effective to Very Effective. Each scale is a Single Select field, so its labels and values can be changed.

Can a reviewer override a calculated rating?

Yes. Override Impact Rating replaces Vendor Impact Rating on an Engagement RA, and Vendor Tier Override replaces Vendor Tier (Calculated) on a vendor. A Business Impact Analysis has manual override fields for Criticality, RTO, RPO and MTD.

Does SmartSuite support FAIR or Monte Carlo simulation?

No. SmartSuite does not calculate FAIR loss exposure or run simulations. Annual Loss Expectancy and the External Ratings figures store estimates produced by a person or by another tool.

What do the AI rating fields do?

They suggest and explain; the formula scores stay the calculated rating. In Enterprise Risk Management, Inherent Risk Rating (AI) and Residual Risk Rating (AI) suggest a level from likelihood, impact, open issues, KRI trend and control effectiveness. In Third-Party Risk, an AI agent writes Risk Posture Calculation (AI) from fixed rules with every step shown, and Risk Posture Grade (AI) reads the grade from it.

Where do I see the heat maps?

Open the Enterprise Risk Management Dashboard in the Enterprise Risk Management solution. Inherent Risk Heat Map and Residual Risk Heat Map place each risk by likelihood and impact. To build one on another table, see Chart View: Heat Map.
