What is SmartSuite AI: every AI feature, where it lives and how to turn it on

The AI features built into SmartSuite: field and workflow agents, Ask AI in SmartDocs, the MCP Server and AI Control Center.

Written by Peter Novosel

SmartSuite AI is the set of AI features built into the platform. They are AI Field Agents in fields, the AI Workflow Agent in automations, Ask AI in SmartDocs, the SmartSuite MCP Server for assistants such as Claude and ChatGPT, and Create with AI for new solutions. A Workspace Administrator turns the features on and manages the model connections in Workspace Administration > AI Control Center.

Plan Availability

Team, Professional and Enterprise (the plans with SmartSuite AI on the pricing page); the 14-day free trial runs on Professional. Each feature article carries its own plan line.

Permissions

Workspace Administrators turn AI features on and manage connections in AI Control Center. Solution Managers configure agents on fields and in automations. Members use AI in the fields, documents and assistants they can already edit.

Platform

Web. Ask AI in a SmartDoc also works in the mobile app's Document View.

Which AI model does SmartSuite use?

Every workspace includes a SmartSuite Trial connection with 100 free requests and no API key, so AI Field Agents and the AI Workflow Agent work before you add a provider. For continued use, a Workspace Administrator adds a connection with your own API key from OpenAI, Anthropic, Google Gemini, Amazon Bedrock, Azure OpenAI, Perplexity, Nscale, IBM watsonx or xAI.

A connection bundles the provider, the model and the key. It can be limited to selected solutions and to either agent feature. The model picker shows a curated list per provider with a price indicator ($ to $$$$) and icons for PDF and image support. Each AI Workflow Agent action and each AI Field Agent runs on one connection, so a high-volume field can use a low-cost model while a complex analysis uses a flagship model.

Who controls AI in a workspace?

AI Control Center in Workspace Administration is where Workspace Administrators:

  • Turn AI Field Agents on or off for the whole workspace; agent configurations are kept when the feature is off.

  • Add, test, disable and delete provider connections. API keys are encrypted at rest and visible only to Administrators.

  • Limit each connection to selected solutions and to the AI Workflow Agent, AI Field Agents or both.

  • Allow or block Internet Search for agents; it is off by default.

  • Set MCP Access to Disabled, Read-Only (the default) or Read & Write for every connected assistant.

  • Read the usage and activity log of each connection: where it is used, and every call with the feature, solution, date and result.

How is my data handled when I use AI?

AI acts within your permissions. An agent reads the fields and files its prompt references, and an assistant connected over MCP sees exactly what the connected Member can see and does only what that Member can do. Every AI change is recorded. A value written by a Field Agent shows Updated by AI in the record's activity history, and a change made through MCP is attributed to both the Member and the assistant.

SmartSuite's AI sub-processor is OpenAI, LLC: content is sent for the request only and is not used to train models (see SmartSuite Subprocessors). When you connect your own provider key, requests go to that provider under your agreement with it. Workspaces hosted in the European Union are served from the EU region, including MCP traffic.

What does SmartSuite AI cost?

SmartSuite AI is listed on the Team, Professional and Enterprise cards of the pricing page at the plan price. Team is $15 per user per month billed annually ($20 billed monthly), Professional $32 ($36 billed monthly) and Enterprise is priced by sales. The SmartSuite Trial connection gives 100 free requests per workspace. After that, agents stay enabled but each run fails with an inline message until an Administrator adds a connection with your own provider key. A run you stop still counts as a request, because the request was already sent.

What are the limits?

Limit.

Value.

Free requests on the SmartSuite Trial connection.

100 per workspace, with no API key.

Files sent to a model by an agent.

PDF, CSV, Excel and image files, under 50 MB per file and 50 MB in total per request.

Attachments and Internet Search.

Shown only when the selected model supports files and images, or browsing.

Models per AI Workflow Agent action.

One. Each action in an automation can use a different connection.

Prompt in an AI Field Agent.

Must reference at least one field.

Automation actions.

An AI Workflow Agent step counts toward your plan's automation actions per month, like any other action.

MCP Access.

Read-Only by default; the stricter of the workspace setting and the connection's own scope wins.

Frequently asked questions

How do I start using AI in SmartSuite?

Ask a Workspace Administrator to open Workspace Administration > AI Control Center and turn on AI Field Agents; the SmartSuite Trial connection with 100 free requests is already there. Then open Field Settings on a supported field, select the AI Field Agent tab and write a prompt that references at least one field. See AI Field Agents: configure, run and troubleshoot.

Can I connect ChatGPT or Claude to SmartSuite?

Yes. Claude and ChatGPT list SmartSuite in their directories, and any other tool that supports remote MCP servers connects with the server URL https://app.smartsuite.com/v1/mcp. See SmartSuite MCP Server.

Does SmartSuite or its AI provider train on my data?

SmartSuite's AI sub-processor, OpenAI, LLC, receives content for the request only and does not use it to train models. A provider you connect with your own key processes requests under your agreement with that provider.

What happens when the 100 free requests run out?

Agents stay enabled and each run fails with the inline message No AI requests left. An Administrator adds a connection with your own provider key in AI Control Center > Providers and Models and enables it for the feature and solution.

Can AI build a solution or a table for me?

Yes. Create with AI on + New Solution builds a new solution from a description. An assistant connected over MCP with Read & Write access can create tables, fields, views, forms and automations in a workspace you choose.

How do I see what AI changed?

The record's activity history shows Updated by AI on a field written by an agent, and a change made through an assistant is attributed to both the Member and the assistant. In AI Control Center, each connection's Activity History lists every call with the feature, solution, date and result.
