Edit records in a drill-in grid

The drill-in grid behind a dashboard widget is editable: change cells, add records and run bulk actions without leaving the dashboard.

Written by Emma Montgomery

Select a bar, a column or a slice of a chart widget on a dashboard, or the number on a metric widget. The records behind it open in a window. The window shows them as a grid with its own toolbar. Open a cell's editor, add a record or export the rows, and the widget updates when you close it.

Here is the test: did a number on the dashboard make you want to fix something? If yes, drill in. You do not need to open the table.

Example: on the Vendor risk overview, the Security lead selects the Critical column of the findings-by-severity chart. The window lists the critical findings. They set Status to Investigating on two rows and add one finding with the + row at the bottom. When the window closes, the chart column is one taller.

The drill-in window open over the chart, listing the critical findings as a grid, with Export and the X in its header.

Opening the drill-in

In View mode, hover over a bar of a chart widget. A tooltip card shows the group's name and the series value, such as "Critical" and the count. Select the bar and the drill-in window opens over the dashboard. On a Comparison Metric widget, select the number and the same window opens with the records behind it.

The window's title is the widget's name. Its header holds an Export button at the right and an X to close it. The toolbar below carries Fields to Display with its count badge, Sort, Group, Spotlight, Row Size and Find. There is no Filter button: the window shows the records behind the part you selected.

The grid in the window

The grid works like a Grid view of the table. Each row shows the expand icon at its left and a comments badge; the last header reads NEW FIELD; the footer counts the rows.

  • Edit a cell. Select a cell once to pick it. Double-click it to open its editor. A text field opens in its own editor window with Close and Save. The title cell opens the full record window with Cancel and Save. The change is saved from that window. See Grid View.

  • Add a record. Select the + row at the bottom; its hint reads "To add new task, press Shift + Enter" with the table's record name.

  • Bulk actions. Check several rows and use the bulk toolbar, or right-click a row. See Bulk Actions.

  • Change fields. Add a field with NEW FIELD, or hide and reorder fields with Fields to Display.

  • Export. Select Export in the header for Microsoft Excel, Google Sheets or CSV.

Tip: Set a Spotlight in the window's toolbar on the rows you still have to touch. The color stays while you work through them and is gone when the window closes.

Permissions

Every member who can open the dashboard can open the drill-in. Record permissions decide which records appear in it. Field permissions decide which cells they can edit: a field the member cannot edit is read-only in the grid. A member who cannot create records in the table does not get the + row. See Dashboard Settings and Field Permissions.

Using the drill-in

The grid shows the records behind the part of the chart you selected. When an edit takes a record out of that group, the record leaves the grid. Set a critical finding to Resolved in a chart of open findings and the row disappears.

A new record is checked against the same conditions. A badge warns before you save it when it will not match.

Another member's edit shows in the grid with their name on the cell. The widget behind the window updates with your changes.

Note: A record that leaves the grid is not deleted. It no longer matches the part of the chart you opened. Find it in the table's own views.

Whether a connected Filter Widget narrows the drill-in too was not read.

Closing and reopening

Select the X at the top right of the window, or press Escape. Nothing about the window is saved to the widget: the sort, group or spotlight you set inside it is gone next time. The edits to records are saved as you make them, as in any grid.

Frequently asked questions

Why did a record disappear from the drill-in grid?

Your edit took it out of the group you opened. The record still exists in the table.

Can I export the records in the drill-in?

Yes. Select Export in the window's header for Microsoft Excel, Google Sheets or CSV.

Can I open a record in full from the drill-in?

Yes. Select the expand icon at the left of the row and the record opens in its own window.

Which widgets open a drill-in?

A chart widget opens it from any bar, column or slice, and a Comparison Metric from its number. A Grid View widget does not need one: it is already a grid.
