Export a dashboard to PDF

Export a dashboard to PDF from its Export option: choose the format, layout and font size, then select Export to PDF.

Written by Emma Montgomery

Export turns the dashboard you are looking at into a PDF file. The file is a picture of the widgets as they are on screen at that moment, drawn in the browser and downloaded a few seconds later.

Here is the test: do you need a dated copy for a meeting or a file, not a live page? If yes, export. If people need the current numbers whenever they look, share the dashboard instead; see Public Dashboard Sharing.

Example: at the end of the audit window, the Security lead exports the Vendor risk overview as a PDF and files it with the evidence. The Filter Widget is set to Tier 1 first, so the page shows the Tier 1 vendors only. The file is named after the dashboard and the date.

Opening Export

  1. Open the dashboard. The menu is there in View mode and in Edit mode alike.

  2. Select the three-dot menu at the right of the header. It holds Full Screen, Export and Copy Link.

  3. Hover over Export and select Adobe PDF, the submenu's only item.

No settings window or notice follows. The browser builds the file and saves it to its downloads folder about ten seconds later.

The PDF file

The file is named after the dashboard, a space and the date as month-day-year, such as "Vendor risk overview 10-30-2026.pdf". It is one page, 8.5 inches wide in landscape, with the height fitted to the dashboard's content rather than a paper size. A header line carries the dashboard's name on the left and the date and time with the SmartSuite logo on the right, in your local time.

The widgets are drawn as they were on screen, at their positions on the canvas, including a Grid View widget's toolbar and buttons. A grid widget shows only the rows that were visible: the widget scrolls, the page does not.

Tip: Make a grid widget taller before you export, so the rows you need are on screen. The page holds what the widget showed, not what it could scroll to.

Permissions

Any member who can open the dashboard can export it. The page holds only the records and fields that member is allowed to see, because every widget applies record and field permissions before it renders. Whether a viewer of a publicly shared dashboard page gets an Export option is not stated here. See Dashboard Settings and Public Dashboard Sharing.

What the page holds

The page shows the widgets as they are on screen when you export, with the values a Filter Widget has applied.

Note: The PDF is a snapshot. It does not update when the data changes. Export again for a fresh copy.

Other exports on a dashboard

Adobe PDF is the dashboard's export. The records inside a widget export separately. A Grid View widget's three-dot menu and its full-screen view offer Microsoft Excel, Google Sheets and CSV. The drill-in window behind a chart or a metric has the same Export button. See View-based widget settings and Edit records in a drill-in grid.

Exporting again later

Nothing is saved in the dashboard by an export. Set the filters you want, open the three-dot menu and export again. Each file carries the day's date in its name; add the time to the file name when you export twice in a day.

Frequently asked questions

Does the PDF include every tab of the dashboard?

Switch to a tab and export again for a second file.

Can I choose the paper size or the orientation?

No. The page is landscape, 8.5 inches wide, and as tall as the dashboard's content. There is no settings window.

Can I export the records in one widget instead?

Yes. Open the widget's three-dot menu and select Export for Microsoft Excel, Google Sheets or CSV. The widget's Allow Exporting switch must be on.
