SmartSuite integrates seamlessly with Dropbox, allowing users to add files directly to records, SmartDocs, comments, and emails. This guide explains how to connect your Dropbox account and use its files within SmartSuite.

What is Dropbox?

Dropbox is a cloud-based file storage and synchronization service widely used for personal and professional purposes. It enables users to:

  • Store and access files online from any device.

  • Collaborate on projects and share content in real-time.

  • Manage and organize files efficiently.

Dropbox offers both free and premium plans with varying storage capacities and features.


Using Dropbox Files in SmartSuite

SmartSuite’s integration with Dropbox lets you:

  • Attach Files to Records: Use the Files & Images field to select and attach files from Dropbox.

  • Insert Files into SmartDocs: Add images, videos, or attachments from Dropbox into SmartDocs.

  • Add Files to Comments: Upload attachments to comments using files from Dropbox.

  • Use in Solution Guides: Attach files to SmartDocs accessed through the Solution drop-down menu.

  • Add to Emails: Attach files from Dropbox in Communications Center emails.

Wherever the file picker is available, you can access your Dropbox files.


Connecting to Dropbox

  1. Open the File Picker: Select a field or option that supports file uploads.

  2. Click “Connect Dropbox”: In the file picker control, select the Dropbox option.

  3. Sign In to Dropbox:

    • Enter your Dropbox account credentials or use a linked Google or Apple account.

    • Approve the access permissions for SmartSuite to integrate with your Dropbox files.

    • In some cases, you may need to enter a code sent by Dropbox to confirm access.

  4. Access Dropbox: Once connected, your Dropbox folders and files will appear in the file picker.


Uploading Files from Dropbox

  1. Select the file(s) you want to upload from your Dropbox folders.

  2. Click Upload to add the files to SmartSuite.

Your files will be attached to the selected record, comment, or input field.

How Do I Attach a File to an Email?

  1. Create a new email in Communications Center.

  2. Click Attach File and select Upload Files.

  3. Choose files from:

    • Your device

    • Dropbox

    • Other sources like Box, OneDrive, or Google Drive

How Do I Insert a File in a SmartDoc?

  1. Type a forward slash (/) at the start of a new line and select an option:

    • Insert Image

    • Insert Attachment

    • Insert Video

  2. Use the file picker to choose a file from Dropbox or other available sources.
