Automate Your Workflows with Zapier

Zapier links SmartSuite to other apps: two triggers (record created, record updated) and four actions (create, update, find one, find many).

Written by Peter Novosel

Zapier runs automations, called Zaps, between SmartSuite and other apps. SmartSuite offers two triggers, Create Record and Update Record, and four actions: Create Record, Update Record, Find a Record and Find Many Records. Each Zap uses a SmartSuite API key, so every run counts toward the workspace's API allowance.

Plan Availability

All plan types. Every request a Zap makes counts toward the workspace's monthly API allowance: 25,000 on Team, 100,000 on Professional, 500,000 on Enterprise, custom on Signature.

Permissions

Any member with an API key; the Zapier connection acts with that member's role and permissions. Zapier needs its own account.

How does a Zap work?

  • Trigger: the event in SmartSuite that starts the Zap.

  • Action: what Zapier does next, in SmartSuite or in another app.

SmartSuite is listed in Zapier's integration catalog.

Which triggers does SmartSuite offer?

Trigger.

When it fires.

Create Record.

A new record is saved in a table. The record's data passes to the next steps of the Zap.

Update Record.

Any field of an existing record changes.

Which actions does SmartSuite offer?

Action.

What it does.

Create Record.

Adds a record to a table, with fields filled from the trigger data.

Update Record.

Finds a matching record from a field in the trigger data, such as the title, and updates it.

Find a Record in SmartSuite.

Returns one record from a field match or a SmartSuite search query; use it before a conditional step.

Find Many Records (As Line Items) in SmartSuite.

Returns up to 10 matching records as line items for later steps.

The two Find actions are set up in Zapier Find Record.

Which account should Zapier use?

Important: Zapier signs in with an API key that belongs to a member and acts with that member's permissions. Create a dedicated member for Zapier with only the access the Zaps need, and do not use an Administrator account.

Frequently asked questions

The first question came from a conversation this month.

Can a Zap fill a Google Doc template from a SmartSuite form?

A form submission creates a record, so a Zap on the Create Record trigger starts for it and carries the record's field values. Map those values into the Google Docs action in Zapier; the Google Docs actions themselves are Zapier's.

Does every Zap run count toward my API allowance?

Yes. Each request a Zap makes to SmartSuite is one API request against the workspace's monthly allowance. Administrators see the total in Workspace Administration > Usage; see Check and reduce API usage.

Where do I find the Workspace ID and API key Zapier asks for?

The Workspace ID is the first 8 characters after app.smartsuite.com/ in the address bar. The API key is in My Profile under API Key; click the masked value to reveal it.
