Find in a view

The Find control in the view toolbar highlights matching cells or records in a view and is never saved with the view.

Written by Emma Montgomery

Find highlights the cells in a view that contain the text you type and jumps between them. It is the one toolbar control that is never saved with the view.

Here is the test: do you want to spot something now, without changing the view? Find. To keep a highlight, use Spotlight; to keep a subset of records, use Filter.

Example: a Vendor Management solution with a Vendors table. During fieldwork the external auditor opens the shared Vendor risk register, types a vendor's name into Find and steps through the matches. Nothing changes for anyone else.

The Find box on the register with Cloud typed, the counter 1 of 3, the arrows, Clear Search, and three cells tinted in the grid.

Opening Find

Find is the seventh control in the toolbar, with a magnifier icon. Select it and a small panel opens. It holds a text box with a magnifier at its left and the placeholder "Enter text here...", a counter at its right, and an up and a down arrow. Under them sit Clear Search and a Need help link.

The box

The panel has three parts: the text box with its counter, the two arrows, and Clear Search.

Typing and the counter

The search runs as you type, across every visible column. Matching cells tint light orange, the current match carries an outline, and the view scrolls to it. The counter reads "0 of 0" before a match and then, for example, "1 of 19". The button's badge shows the number of matches: Find 19.

The arrows

The down arrow, Next result, moves the outline to the next match and the counter follows, "2 of 19". The up arrow, Previous result, moves it back.

Clear Search

Empties the box and removes the tint and the badge. Escape does not close the panel; select the Find button or click elsewhere.

Note: Find is yours alone. Other members never see your search, and after a page reload the search is gone, with no badge and no tint.

Permissions

Any member with access to a view can use Find, including a Guest on a shared view. Nothing is saved to the view, so no edit permission is needed, and a locked view makes no difference.

Using Find in each view type

  • Grid: the matching cells are tinted and the grid scrolls to the current match.

  • Card, Kanban, Calendar, Timeline and Map: the whole record or card that contains the match is highlighted.

  • Gantt, Chart, Form, Dashboard and Document: not listed with a Find control in the live article.

The Grid line comes from the read; the other lines carry what the live article states. Whether Find searches fields hidden by Fields to Display was not read.

Tip: Use Find for one record now, and Filter for a set you will come back to. A filter is saved with the view; a search is not.

Clearing Find later

Select Clear Search, or reload the page. A private view does not keep a search either. There is nothing to undo on the view.

Frequently asked questions

Is a Find search saved?

No. It applies to your session only and is gone after a reload.

Does Find search every field?

It searches the visible columns as you type. Whether hidden fields are searched is on Artem's list.

Can the auditor use Find on a shared view?

Yes. Find needs no edit permission, so it works on a read-only shared view.

Why does the Find button show a number?

The badge is the match count. Find 19 means nineteen cells contain the text.
