Fix: Seats limit reached or a rejected invitation: Adding members

Seats limit reached means every licensed seat is used. Add seats in Plans & Billing (Team, Professional) or through Sales (Enterprise).

Written by Piercen Reid

A "Seats limit reached" message or a rejected invitation means every licensed seat in your workspace is taken. On Team and Professional, an Administrator adds seats in Plans & Billing; on Enterprise and Signature, seats are set by contract, so contact Sales. If the invitation simply never arrived, check the spam folder and resend.

Plan Availability

All plans.

Permissions

Administrators: add or reduce licensed users and send invitations.

Why was my invitation rejected?

  • No free seat. The workspace has used all of its licensed seats.

  • The email never arrived. The invitation was filtered to spam or junk, or the address was typed incorrectly.

How do I add seats on Team or Professional?

  1. Click your profile icon in the top-right corner and select Workspace Administration.

  2. Open the Plans & Billing tab and select Manage Users in the Plan Profile section.

  3. Invite the new members. You are billed for the additional users, prorated for the rest of the current billing period.

  4. Resend the invitation if one was rejected earlier.

How do I add seats on Enterprise or Signature?

Seat counts on these plans are fixed by your contract and do not change automatically. Contact Sales at sales@smartsuite.com to add seats; invitations become possible as soon as the subscription is updated.

The invitation was sent but not received

  • Ask the recipient to check their spam or junk folder.

  • Confirm the email address you entered is correct.

  • Resend the invitation from Workspace Administration > Manage Members.

Frequently asked questions

Are read-only users or form submitters billed?

Does an invited member take a seat before accepting?

Can I free a seat without deleting someone?

Yes. Deactivate the member; an inactive member does not occupy a seat.
