How can I use Email Layouts in SmartSuite automations?

Email Layouts in SmartSuite are a powerful feature designed to standardize the appearance of your emails by applying consistent headers and footers. However, it’s important to note that Email Layouts are only applicable to emails sent through automations and cannot be used when composing emails manually in the Communication Center. Below, we’ll explain how to set up an automation to use Email Layouts effectively.

Limitations of Email Layouts

  • Email Layouts cannot be selected or applied when composing emails manually in the Communication Center.

  • They are exclusively available for emails sent via automations, where you can select a layout to apply consistent formatting.

Setting Up an Automation with Email Layouts

To use Email Layouts in your automations, follow these steps:

  1. Create a New Automation - Navigate to the Automations section in your SmartSuite solution and click on "Add Automation."

  2. Set the Trigger - Choose a trigger event, such as "When a Record is Created," and specify the relevant table.

  3. Add a Send Email Action - Add a "Send an Email" action to your automation. If prompted, connect your email account.

  4. Configure Email Details - Fill in the "Send To," "Subject," and "Message" fields. You can map values from the record to personalize the email content.

  5. Select an Email Layout - If Email Layouts are enabled in your account, select the desired layout in the "Send Email" action. This will apply the chosen header and footer to your outgoing emails.

Best Practices

  • Use Email Layouts to maintain consistent branding across all automated emails.

  • Test your automation to ensure the layout is applied correctly before deploying it.

  • Regularly review and update your Email Layouts to align with your organization’s branding guidelines.

By following these steps, you can leverage Email Layouts to enhance the professionalism and consistency of your automated emails in SmartSuite.
