SmartSuite: Send a Notification

The Send a Notification action allows automations to send real-time, in-app messages directly to workspace members via the SmartSuite Notification Center.
Use this action to keep your team informed about record changes, important conditions being met, or any key updates — all without sending an email.


📘 Overview

The Send a Notification action lets you send messages triggered by automation events such as:

  • When a record is created

  • When a record is updated

  • When a record matches a condition

  • Or any custom trigger you configure

Each notification appears instantly in the recipient’s Notification Center, making it ideal for lightweight, in-context communication.


⚙️ Configuring the Action

Action Name

SmartSuite: Send a notification

Description

Send an in-app message that appears in the SmartSuite Notification Center for one or more workspace members.

Add the Action

From the list of SmartSuite Actions, select Send a notification to add the action to your automation workflow:


🧩 Configuring Action Inputs

Once the Send a notification action has been added, you can configure it's parameters. There are two settings: Send To and Message.

Send To

  • Required: ✅ Yes

  • Control Type: Select Value

  • Purpose: Define who should receive the notification.

  • Accepted Values:

    • Static entries such as user names or emails

      Example: artem@smartsuite.com, Peter Novosel

    • Dynamic fields referencing workspace data:

      • Email, Assigned To, Lookup, Linked Record, or Formula fields

This flexible setup means you can target a single user, a group, or dynamically route messages based on record data.


Message

  • Required: ✅ Yes

  • Control Type: Select Value

  • Purpose: Define the content of the notification.

  • Formatting: The content of notifications is plain text only. Note: SmartDoc formatting is not supported at this time.

  • Automatic Defaults:
    SmartSuite automatically provides a default message based on the automation trigger:

“Record has been updated by {Last Updated By}.”

Record matches condition

“Specified condition has been matched.”

Other triggers

You can override the default message with your own custom text.


🧠 Message Context & Formatting

When record context is available, the message includes references to the triggering record and application:

An automation for record {Trigger Record Name} from {Trigger App Name} sent a message: {Custom Message}.

When record context is not available, the message uses a simplified version:

An automation sent a message: {Custom Message}.

If your message exceeds the maximum length, SmartSuite automatically truncates the excess text.


🔄 Related Changes to “Send Email” Action

With the introduction of Send a Notification, the Send Notification block has been removed from all newly created Send Email actions.


The Send a Notification action helps your automations communicate instantly and effectively — keeping teams informed and aligned directly inside SmartSuite, without relying on email alerts.
