Fix: a member cannot see a solution, table or record: Roles and permissions

A member cannot see a solution, table or record: check the role, then solution, table, field and record permissions, then sign in again.

Written by Piercen Reid

When a member can log in but cannot see a solution, table or record, a role or permission is missing. An Administrator checks the member's role, then a Solution Manager checks the solution, table and field permissions; the member signs out and back in to pick up the change.

Plan Availability

All plans. Table, field and record permissions depend on your plan; see SmartSuite Permissions.

Permissions

Administrators: assign roles. Solution Managers: set solution, table, field and record permissions.

Related Reading

A new member cannot see a solution. What do I check?

  1. Role: an Administrator confirms the member has the right role (Administrator, Solution Creator, General or Guest).

  2. Solution access: a Solution Manager confirms the member or one of their teams has access to the solution.

  3. Table, field and record permissions: check whether a table or field permission, or an assignment-based record permission, hides the content.

  4. Refresh: have the member sign out and sign in again, then confirm they can see the content.

Best practices

  • Review roles and permissions regularly so access matches current responsibilities.

  • Tell members what they can and cannot see so unexpected gaps are reported quickly.

Frequently asked questions

Can a Solution Manager change a member's role?

No. Roles are workspace-level and only Administrators change them. Solution Managers manage permissions inside their solutions.

Why can a member see a table but not some fields?

Field permissions hide specific fields from a role or member.

A member sees a record in one view and not another. Why?

View filters, not permissions, usually cause that; compare the two views' filters.
