Kanban view widget

Embed Kanban Views directly on dashboards to streamline process management

Written by Piercen Reid

The Kanban View widget shows a table's records as cards in columns on a dashboard. Each column is one value of the field you choose, such as a Status, and rows called swimlanes can split the board by a second field. It is the Kanban view, placed on a dashboard.

Here is the test: should viewers move work between stages without leaving the dashboard? If yes, add a Kanban View widget. If they need a plain list, use the Grid View widget. If the cards matter more than the stages, use the Card View widget.

Example: the Vendor risk overview dashboard in a Vendor Management solution. The Security lead adds a Kanban View widget titled Findings by status on the Findings table. Its columns are by Status and its swimlanes by Severity, the same setup as the Findings board view. Empty columns are hidden. Drag and drop is on, so Procurement moves a finding from Triage to Investigating on the dashboard. The Vendor Tier Filter widget narrows the board.

The Findings by status widget on the Vendor risk overview: four Status columns, Severity swimlanes and a card being dragged.

Adding a Kanban View widget

  1. Open the dashboard and set the View | Edit switch in the upper right to Edit.

  2. Select + Add Widget in the toolbar. The Add New Widget sidebar opens on the right, with a Search Widget box and the widget categories.

  3. Expand Views and select the Kanban View card. Its info icon reads "Track progress of tasks through stages using a drag-and-drop visual board." The widget modal opens.

  4. The modal shows a live preview of the board on the left and the settings sidebar on the right. Set the source, the column field and the defaults as described below.

  5. Select Add Widget at the foot of the modal. Cancel discards the widget.

The widget lands at the top left of the dashboard at half the row's width; the next widget lands beside it. There is no Save button on a dashboard: Add Widget is the commit. Drag the handle on its right or bottom edge to resize it; see Managing Widgets.

The widget settings

The settings sidebar is the one every view-based widget shares. It has three tabs: General, Toolbar and Actions. Each tab is a set of sections you can expand and collapse. Every row is described in View-Based Widget Settings. This section covers what the Kanban View widget does with them.

General

Heading. Title is a text box, prefilled with "Kanban View"; type the widget's name, Findings by status here. Description is a switch, off to start. Turn it on and a rich-text box appears with two position tabs, As A Tooltip and Below The Title. Below The Title is selected to start.

Source. A button that shows the table's name with the line "Solution: <solution name>". It opens a two-level picker: the current solution's tables, and a back chevron to every solution you can see, with a search box. Pick the solution, then the table. For Findings by status the table is Findings. A widget's source is a table, not a saved view; the board's columns, card fields and filters are set in View Configuration.

View Configuration. One row per control, each with its current value as a badge: Column (its badge names the column field), Fields to display, Sort, Filter, Spotlight and Card Size. There is no Group row: the columns are the grouping. Select a row and the control's usual popup opens inside the modal; the preview updates at once.

Column

The Column row opens the Column Grouping popup. A new widget groups by the first eligible field, an Assigned To field such as Owner. Column Grouping picks the column field. Its dropdown offers the table's Assigned To, Single Select and Status fields. The checkbox Hide empty columns sits under it, off to start. The popup's own line reads "Your cards will be grouped into columns, based on the field you choose."

Swimlane Grouping (optional) picks the row field. Its dropdown starts on No Selection and offers the Single Select and Status fields. Two checkboxes follow: Hide empty rows and Collapse all, both off to start. Its line reads "Your cards will be grouped into rows, based on the field you choose." Need help and Done close the popup.

For Findings by status the column field is Status, the swimlane field is Severity and Hide empty columns is on.

Tip: Turn on Hide empty columns on a Status board. The dashboard then shows only the stages in use, and a new stage appears the day its first card lands.

Card Size

A slider with three stops, S, M and L, with a minus and a plus button at its ends. S is selected to start.

Display Options. Limit the number of displayed results is a checkbox, checked to start, with a number box set to 100. Uncheck it to show every card that passes the filter.

The Column Grouping popup open from View Configuration, with Status, Severity and Hide empty columns checked.

Toolbar

Preset Filters offers three cards, None, Dynamic and Static; None is selected to start. The steps are in Filters in View-Based Widgets.

Toolbar Elements is one switch per control, all on to start: Stack By, Fields to Display, Sort, Filter, Spotlight, Card Size and Search. Stack By is the column control; it reads Column in View Configuration and on the board's toolbar. Show all and Hide all change every switch at once.

Actions

User Actions carries two switches on the Kanban View widget, both on to start.

  • Open Record Details lets a viewer open a record from a card.

  • Allow Drag and Drop Records lets a viewer drag a card to another column or swimlane.

Buttons holds + Add Button, which opens the Button Settings popover; see View-Based Widget Buttons.

Permissions

Solution Managers and members with Full Access add a Kanban View widget to a public dashboard and change its settings. The owner does the same on a private dashboard. Every member who can open the dashboard sees the widget; see Dashboard Settings. What a viewer can do inside it is the smaller of two things: the switches on the Actions tab, and their own permissions in the table. A member who cannot edit Findings cannot move a card, whatever the switch says. On a shared dashboard the board shows to anyone with the link; see Public Dashboard Sharing.

Using the widget

In View mode the widget is the board, with the toolbar you left on. The toolbar's first button reads Column : <field>. At half width the toolbar folds into a Configure View dropdown; at full width it shows inline. Column headers carry the value's color and a count, each with a collapse control and a column menu. Each swimlane row has a chevron to collapse it, and the row for records with no value is labeled Empty. A tall column shows its first cards and a Show All control under them for the rest.

With Allow Drag and Drop Records on, a viewer drags a card to another column and the record's Status changes at once. An Add a record control in each cell adds a card with that column's value already set. Select a card to open the record when Open Record Details is on. Hover over the widget for the Full Screen icon and the three-dot menu at its top right.

A Filter widget on the same table narrows the board when the two are connected; the Kanban View widget is offered in its connection list. See Filter widget.

Note: A column shows its first cards and then Show All, so a dense board is short on purpose. Viewers select Show All to see the rest of the column.

A viewer's sort, filter or column change in the widget lasts until the dashboard reloads; the defaults in View Configuration come back.

Editing a Kanban View widget

In Edit mode, hover over the widget. A strip appears with a drag handle (Drag Widget), Move Up, Move Down, Edit (its tooltip reads Edit Widget) and a three-dot More Options menu. Edit reopens the modal; change what you need and select the button at its foot. Closing the modal with its X after a change asks "Are you sure you want to exit without saving the changes you made?", with Exit Without Saving and Save Changes.

The More Options menu holds Minimize, Highlight Color, Duplicate Widget, Delete Widget and a Collapsed by Default checkbox. Delete Widget asks "Are you sure you want to delete the <name> widget?" with No, cancel and Yes, delete widget. The full set is in Managing Widgets.

Frequently asked questions

Which fields can be the columns?

Assigned To, Single Select and Status fields. Each value becomes a column, in the field's order.

Why does a column show only some of its cards?

The widget shows a column's first cards and a Show All control for the rest. Select Show All to see the whole column.

Can viewers add cards from the widget?

Only when Allow Drag and Drop Records is on and they can create records in the table. The add control in each cell sets the column's value on the new record.

Why does the toolbar say Stack By and the settings say Column?

They are the same control. Toolbar Elements calls it Stack By; View Configuration, the board's toolbar and the popup call it Column and Column Grouping.
