SmartSuite Automations help you save time by handling repetitive tasks, notifications, and integrations—without any code. This guide explains how automation limits work, what happens when you exceed them, and how the new Automation Runs Add-On helps you stay productive.

🔧 Automation Limits Overview

Automation Counts

  • Up to 50 automations per Solution

  • Inactive automations still count toward the limit

  • Each automation can include up to 10 actions

  • Every time an automation runs, each action counts toward your monthly total.

    • Example: An automation with 5 actions will use 5 of your available actions every time it runs.

  • Limits reset monthly, even on annual plans.


⚠️ What Happens When You Hit Your Limit

Automation Pauses

  • All automations stop running once your plan’s monthly action limit is reached.

  • Failed runs will be marked and can be retried manually once your quota resets.

To help you stay operational even after hitting limits, SmartSuite now offers automation overages.

Add-On Details

  • Cost: $15 per additional 1,000 automation runs

  • Auto-billing toggle: Available in Workspace Administration > Usage tab

  • Monitoring usage: Admins can view current usage and add-on purchases in the Usage tab

  • Unused add-ons: Expire at the end of the month (they don’t carry over)

📧 Email Sending Limits

For Free and Trial Plans:

  • Limit: 100 emails/month using SmartSuite’s default domains

  • Workaround: Connect Gmail or Outlook to increase limits via automation or the Communication Center

1. Managing Monthly Automation Usage

Scenario: Your workspace frequently hits the monthly action limit.

Solution: Enable the automation add-on to purchase additional runs automatically and avoid disruptions.


2. Optimizing Email Limits

Scenario: You’re on a Free plan and need to send over 100 emails via automation.

Solution: Connect your Gmail or Outlook account to send emails beyond the SmartSuite default limit.


3. Recovering Failed Automations

Scenario: Automations were disabled after exceeding your monthly quota.

Solution: After the monthly reset, use the Re-run Automation button to retry any failed workflows.
