Canceling Your SmartSuite Workspace

Steps to close your workspace and important considerations.

Key Information

  • Administrator Access Required:
    Only Administrators can cancel a SmartSuite workspace. If you no longer have administrative access, contact support@smartsuite.com for assistance.

  • Trial Workspaces:
    Trial workspaces don’t need to be canceled. Once the trial expires, the workspace is automatically converted to the Free Plan.


Canceling a Paid Workspace

To cancel your SmartSuite workspace:

  1. Log in: Ensure you are logged in as a Member with the Administrator role.

  2. Open User Profile:

    • Click your profile icon in the upper-right corner of the interface.

  3. Navigate to Plans & Billing:

    • Select "Workspace Administration" > "Plans & Billing."

  4. Cancel Workspace:

    • Click the Cancel Workspace button in the Plan Profile panel.

  5. Confirm Cancellation:

    • Click Yes, Cancel My Workspace to confirm.


Refund Policy

  • SmartSuite does not offer refunds for canceled subscriptions.

  • When you cancel:

    • Monthly Plans: Your workspace will remain active until the end of the current month.

    • Annual Plans: Your workspace will remain active until your annual renewal date.

  • Cancellation prevents the workspace from renewing at the next billing interval.


What Happens to Your Data?

After cancellation, you can choose to:

  • Retain Your Data:

    • SmartSuite will securely store your workspace data in case you decide to renew in the future.

    • Note: This policy is subject to change.

  • Delete Your Data:

    • Contact support if you wish to have your workspace data permanently deleted.


Practical Scenarios and Use Cases

1. Retaining Data for Future Use

Scenario: Your organization is pausing a project but may return to SmartSuite later.
Solution: Opt to retain your workspace data during cancellation to ensure a seamless return in the future.

2. Switching to a Free Plan

Scenario: You want to stop paying but still need access to basic features.
Solution: Downgrade to the Free Plan by canceling your paid subscription; your workspace remains available with Free Plan limitations.

3. Resolving Access Issues

Scenario: The last administrator has left the organization, and no one can access the workspace.
Solution: Contact support@smartsuite.com to regain access and manage the workspace.
