When subscribing to a paid SmartSuite plan, you choose a billing frequency: monthly or annually. Annual payments offer a discount, making them a cost-effective option for many users. This guide explains how to update your billing frequency, what to consider, and how plan upgrades or downgrades affect your billing.
How to Change Your Billing Frequency
Follow these steps to update how often you are billed:
Log in with Administrator permissions.
Click your profile icon in the top-right corner.
Select Workspace Administration from the dropdown menu.
Go to the Plans & Billing tab.
In the Plan Profile section, click the Edit icon next to your current plan name.
Adjust the toggle between Pay Monthly and Pay Annually to select your desired frequency.
Choosing a New Plan
When editing your plan:
Click the Choose a Plan button to explore options.
The current plan will appear disabled, allowing you to cancel the process by closing the window.
Other plan options will have active selection buttons. Click one to select a plan and confirm your choice on the next page.
What Happens When You Upgrade Your Plan?
If you upgrade to a higher plan (e.g., Team to Professional or Professional to Enterprise):
The change takes effect immediately upon confirmation.
You will be billed for the prorated difference between your current plan and the new plan for the remaining time in your billing cycle.
What Happens When You Downgrade Your Plan?
Downgrading to a lower plan (e.g., Enterprise to Professional or Professional to Team) works differently:
The downgrade takes effect at the end of your current billing term.
Example: If you’re on a Professional monthly plan and downgrade to Team, you retain Professional features until the end of the month, after which the workspace switches to Team features and billing rates.

1. Switching to Annual Billing for Savings
Scenario: Your team decides to commit to SmartSuite for the long term.
Solution: Switch to annual billing to take advantage of discounted rates.
2. Immediate Plan Upgrade
Scenario: A growing business requires Enterprise features immediately.
Solution: Upgrade to Enterprise and start using the advanced features right away. You’ll be billed for the prorated cost difference.
3. End-of-Term Downgrade
Scenario: A small business decides to scale back and use fewer features.
Solution: Downgrade to Team, which takes effect at the end of the current billing period.
