Why SmartSuite Is Retiring the Free Plan

SmartSuite is evolving into a platform designed to support the advanced workflow, security, and governance needs of mid-market and enterprise organizations. Our Solution Suites for GRC, ITSM, Cybersecurity, Business Resilience, Internal Audit, and CRM require infrastructure and support investments that go beyond what a free plan can sustainably offer.

While many customers have used the Free Plan to run meaningful business processes, SmartSuite now needs to provide consistent performance, security, and capabilities across all workspaces. Retiring the Free Plan allows us to focus resources on delivering the enterprise-grade features that teams rely on as they scale.

We remain committed to supporting customers of all sizes, and you will continue to have full ownership of your data throughout this transition.


Key Dates

  • January 1, 2026 — Free Plan removed for new signups

  • July 1, 2026 — Existing Free Plan workspaces expire and enter locked state


What Happens on July 1, 2026?

On this date:

  • Your workspace will enter a locked state

  • You will no longer be able to access records, dashboards, apps, forms, or shared views

  • API access will be disabled

  • Admins can upgrade at any time in the following six months to restore full access


What Are My Options?

1. Upgrade to a Paid Plan

Upgrading restores immediate access to all data and workspace features. SmartSuite offers several plans designed to support teams of all sizes, including complex workflows required by enterprise environments.

2. Export Your Data Before July 1st

If you choose not to upgrade, you can export your records and attachments before the expiration date.

Your data remains securely stored even after expiration for a period of six (6) months, but cannot be accessed unless you upgrade.

3. Contact Support for Transition Help

Why Was My Trial Locked Instead of Downgraded?

Beginning January 1, 2026, expired trials no longer convert to Free Plans. Instead, they move into a blocked state that allows:

  • Admins to extend the trial (up to 28 total days)

  • Admins to upgrade to a paid plan

  • Admins to delete the workspace if no longer needed

This change aligns trials with the new pricing model and ensures clarity during the evaluation process.


Frequently Asked Questions

Will I lose my data after July 1st?

Not Immediately. Your data remains stored safely for a period of six months. It simply becomes inaccessible until you upgrade. Note that after six months of inactivity your workspace and all data will be deleted.

Can I continue using SmartSuite without upgrading?

You can export your data before July 1st, but continued usage requires a paid subscription.
