Document View provides a flexible workspace for creating and collaborating on documents directly inside your SmartSuite solutions. Unlike Grid or Card View, it is not tied to individual records. Instead, it gives your team a shared canvas for writing, formatting, and managing documentation within any table.


Overview

Use Document View to:

  • Create internal guides, meeting notes, or project documentation.

  • Collaborate in real time with teammates through shared editing and comments.

  • Navigate long documents using the built-in Table of Contents.

  • Track changes and restore previous edits with Version History.

  • Customize fonts, sizes, and layouts for readability.

  • Control access and edit permissions for each document.


Creating a Document View

  1. Open any table in your solution.

  2. Click + New View in the view menu.

  3. Select Document View.

  4. A blank page titled “Untitled Document” appears.

    • You can rename the document at any time.

    • The document title automatically syncs with the view name.


Editing Your Document

Document View includes the full SmartDoc editor for rich-text formatting and embedded content.

To edit:

  • Click anywhere on the page to begin typing.

  • Use the toolbar or type / to open the insert menu for:

    • Headings (H1–H3)

    • Lists, tables, and dividers

    • Images, videos, and attachments

    • Mentions (users or records)

    • Callout blocks and quotes

All edits are saved automatically. Undo and redo actions are supported.


Navigating with the Table of Contents

The Table of Contents (TOC) is automatically generated from headings (H1–H3).

  • Enable or disable the TOC from the View Settings panel under Display Options.

  • Click any TOC entry to jump directly to that section.


Collaborating with Comments

Collaborate directly inside your document by adding inline comments.

To add a comment:

  1. Highlight text within the document.

  2. Click the Comment icon.

  3. Type your comment and submit.

Comments appear as small markers in the right-hand margin.
You can reply, edit, resolve, or delete comments as needed.


Customizing View Settings

Open the View Settings panel to personalize your document layout and appearance.

General

  • Rename the document.

  • Add a description or icon.

Settings

  • Show or hide document elements such as:

    • Document title

    • Owner

    • Last updated timestamp

    • Cover image

    • Table of Contents

  • Adjust appearance options:

    • Font Family: Sans, Serif, Mono

    • Font Size: Small, Medium, Large

    • Document Width: Default or Enlarged

Permissions

  • Visibility: Public, Private to Me, or Selected Members

  • Edit Access: Everyone, Private, or Specific Members


Sharing and Exporting

  • Share: Grant access to teammates through SmartSuite’s sharing controls.

  • Export (coming soon): Download your document as a PDF or Markdown file.

  • Embed (coming soon): Add documents to pages or dashboards for easy access.


Best Practices

  • Use headings consistently to create a clear structure and improve navigation.

  • Include a cover image to make key documents stand out.

  • Combine Document View with Grid or Kanban Views to manage both structured data and written content in the same table.
