How Product Teams Use SmartSuite to Build and Hit Project & Task Milestones

Hello and welcome back to our latest Smart Suite showcase! If you're new here, I'm Nate Montgomery, your host. In this series, we explore how customers are utilizing our platform. Today's episode takes a deep dive into how product teams use Smart Suite to build and manage their work. Let's get started!

We're back in the Smart Suite overview. If you're interested in exploring the solution we'll be discussing today, you can head to your homepage and add a new solution. Begin with the provided templates. In the Smart Suite showcases section, you'll find all the previous showcases, including the one I'm about to demonstrate – the product showcase.

Let's begin by examining the data schema widget within the dashboard. In recent showcases, I've covered how product teams leverage Smart Suite for planning, prioritizing work, collecting and acting on feedback. You can find links to those videos in the description if you'd like to check them out before proceeding. Today, our focus is mainly on building and delivering.

We have six tables here, and the crux of this showcase revolves around projects, tasks, and timelines. We'll explore how these elements relate, particularly how tasks must be completed within fixed intervals known as Sprints. This data schema should provide a clear picture of how these pieces interconnect.

Using Smart Suite for your product teams allows you to create a comprehensive organizational roadmap. It ensures that your building efforts align with Sprints and projects that have specific release and due dates.

Starting with the Projects table, you'll find a grid view featuring various field types capturing details about individual projects. Whether it's a feature enhancement, a part of your product area, or more, you can link to feedback, OKRs, and even store design files. Complexity and effort levels can be assessed using single selected number fields to aid in prioritization.

To effectively build and deliver work, organizing data into various views is crucial. The Kanban view, for instance, categorizes projects by status, allowing teams to easily track progress. The timeline view offers a roadmap of ongoing projects, grouped by priority, with status indicators.

Clicking into records offers deeper insights, including requirements and designs stored in Smart Doc fields.

Moving on to the Launch Calendar view, you can visualize project timelines based on due dates. Additional calendars, such as a view of tasks and their alignment with projects, can be added for a comprehensive overview.

Transitioning to the Tasks table, you can observe ongoing work for different projects. Automation engines can be employed to streamline workflows. For example, a project's stages, like UX refinement or design, can trigger automated steps based on specific field checks.

Within the Tasks table, records related to projects are generated, assigned parties are designated based on task types, and project leads can allocate tasks to specific Sprints. This action populates the Sprint release date, ensuring task owners understand when their responsibilities must be fulfilled.

In the Sprints table, you'll find a breakdown of work occurring within fixed intervals. The table includes date ranges, automated triggers for Sprint creation, status tracking, workday calculations, and task metrics.

Navigating back to the Sprint Planning Chart view within Tasks, you can filter tasks related to specific Sprints. By clicking on the chart, you can access detailed information and collaborate effectively.
